This position will be responsible for provides administrative, operational, and logistical assistance to ensure programs run smoothly. Responsibilities include organizing documentation, tracking budgets and timelines. This position will also responsible collaboration with finance, procurement, PMPC to ensure service quality of the project under the supervision of Project Manager, Protection GBV
Responsible for to ensure logistics support for all facility activity implementation
Responsible for administrative task and facilitating effective communication channel until program successful
Responsible for Monthly and Quarterly procurement plan and on time submission
Ensure all PR for purchase with a SMART planning accordingly
Prepare and Ensure Periodic and non-periodical approval from the management
Responsible for budget and expenditure planning with sharing forecast with finance
Responsible for vendor communication for work order, goods receiving and monitoring the quality services
Accountable budget analysis, forecasting and BvA justification
Accountable for collection, compilation and preparation of budget related reports and timely submission of monthly reports
Prepare data for quarterly and yearly donor reports
Responsible for emergency support of facility if needed.
Conduct training and orientation for the Project staff- IOU related works, volunteer payment, purchase, billing submission systems.
Supervise and mentor Leave information of staff, providing guidance and support in their professional development
Be responsible for the identification, measurement, accumulation, analysis, preparation, and communication regarding distribution plan, volunteers’ recruitment, documentation, Stock, challan etc.
Spend 20% time for the field visit for administrative support, monitoring and reporting purposes
Maintained regular coordination with the Protection Sector and warehouse to facilitate timely resource mobilization and uninterrupted protection service delivery during the emergency
Ensure confidentiality asper Protection guideline information in WFS, MPCC and primary health facility
Ensure materials distribution to the facility with ensure the collaborative way of the warehouse personal
Safeguarding:
Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
