Responsibilities & Context:

1. Patient Reception & Front Desk Management

  • Receive and greet patients and attendants in a courteous and professional manner.

  • Manage patient registration, appointment scheduling, and front desk operations.

  • Ensure a smooth and positive first point of contact for all patients.

2. Patient Communication & Coordination

  • Handle patient inquiries in person, over phone, email, and digital platforms.

  • Coordinate between patients, doctors, counselors, nurses, and other departments.

  • Provide accurate information regarding services, visiting hours, and procedures.

3. Appointment & Queue Management

  • Schedule, confirm, and reschedule patient appointments efficiently.

  • Manage patient flow to minimize waiting time and improve service experience.

  • Inform patients promptly about any changes or delays in schedules.

4. Patient Support & Service Experience

  • Assist patients throughout their visit, ensuring comfort and proper guidance.

  • Address patient concerns, complaints, and feedback professionally and empathetically.

  • Escalate complex issues to the appropriate authority when required.

5. Documentation & Data Entry

  • Maintain accurate patient records, registration details, and visit logs in HMS/EMR systems.

  • Ensure proper handling and confidentiality of patient information.

6. Billing & Payment Coordination

  • Coordinate with accounts and billing departments regarding patient payments and invoices.

  • Guide patients on payment procedures, receipts, and related documentation.

7. Follow-up & Patient Retention

  • Conduct follow-up calls or messages regarding appointments, reports, and treatment progress.

  • Support patient retention initiatives and service quality improvement.

8. Coordination with Marketing & Counseling Teams

  • Forward patient inquiries and leads to counselors and marketing teams for further engagement.

  • Support conversion of inquiries into consultations and treatment enrollments.

9. Reporting & Administrative Support

  • Prepare daily and monthly patient visit and inquiry reports.

  • Provide administrative support to management as required.

10. Ethics, Confidentiality & Professional Conduct

  • Maintain patient privacy, dignity, and confidentiality at all times.

  • Follow organizational policies, service standards, and professional etiquette.
