Responsibilities & Context:

Customs Clearance Management (For Import)

1. Documentation Preparation and Submission:

  • Ensure accurate preparation and submission of all necessary customs documentation, including commercial invoices, bills of lading, packing lists, certificates of origin, and import/export licenses.      
  • Maintain up-to-date knowledge of customs regulations and requirements as per HS Code. 

2.      Customs Compliance:

  • Ensure all shipments comply with local and international customs regulations.
  • Keep abreast of changes in customs laws and regulations and implement necessary changes to processes and procedures. 

3.      Customs Brokerage Coordination:

  • Liaise and excellent access with customs officials to facilitate the clearance of goods.
  • Resolve any issues that arise during the customs clearance process. 

4.      Duties and Taxes Management:

  • Calculate and manage the payment of customs duties, taxes, and other fees as per latest HS Code.        
  • Ensure timely payment and accurate accounting of all customs-related charges.

Other Responsibilities

1.      Transportation Coordination:

  • Plan and manage the transportation of goods as per customer’s need.     
  • Monitor and track shipments to ensure they reach their destination on time.

2.      Warehousing and Storage:

  • Arrange for temporary storage of goods, when necessary, in consultation with clients.·        
  • Ensure proper handling and storage conditions to prevent damage or loss.

3.      Logistics Management:

  • Develop and implement efficient logistics strategies to optimize the movement of goods.

4.      Problem Resolution:

  • Address and resolve any logistical issues, such as delays, damages, or discrepancies in any shipments.
  • Work with suppliers, carriers, and internal teams to troubleshoot and resolve problems.
  • Inform all the updates and problems to higher management to escalate the issue for immediate resolution.

Team Management

1.      Supervision and Leadership:

  • Lead and manage a team of customs clearance and office staffs.·        
  • Provide training, guidance, and support to team members to ensure high performance and adherence to company policies. 

2.      Performance Monitoring:

  • Monitor team performance and implement improvements as necessary.     
  • Conduct regular performance reviews and provide constructive feedback.
  • Customer Service and Relationship Management

1.      Client Communication:

  • Serve as the primary point of contact for clients regarding customs clearance and forwarding matters.
  • Provide regular updates on shipment status and address any client concerns promptly. 

2.      Supplier and Partner Relationships:

  • Build and maintain strong relationships with customs authorities, brokers, carriers, and other logistics partners.        
  • Negotiate rates and terms with suppliers to secure the best possible deals for the company.
  • Reporting and Analysis

1.      Documentation and Record Keeping:

  • Maintain accurate and organized records of all customs and forwarding activities.        
  • Ensure compliance with company policies and regulatory requirements. 

2.      Reporting:

  • Prepare regular reports on customs clearance and forwarding activities, including performance metrics, cost analysis, and compliance status.       
  • Present findings and recommendations to senior management. 

3.      Continuous Improvement:

  • Analyze processes and procedures to identify areas for improvement.        
  • Implement best practices and streamline operations to enhance efficiency and reduce costs.
