Responsibilities & Context:
  • Welcome and manage guests, visitors, customers, clients, suppliers, etc., courteously and appropriately. Address their needs and manage their requirements.

  • Answer and respond to calls professionally, forwarding incoming calls and messages to the relevant personnel.

  • Maintain records of visitors and customers, keeping notes and passing them to the appropriate authority. Ensure the reception area is well-maintained.

  • Schedule and confirm appointments, meetings, and events. Maintain the calendar.

  • PABX Coordination: Maintain and coordinate the PABX call system.

  • Organize and maintain files and records, updating them as necessary.

  • Receive, sort, and store incoming correspondence (letters, registered mail, parcels, etc.) and distribute them to the right recipient (personnel/departments). Keep records of all distributed items.

  • Maintain and update the attendance and in/out/movement register.

  • Distribute all types of documents to office employees as needed.

  • Assist in establishing cooperation with various departments to solve administrative problems. Provide assistance with admin-related tasks.

  • Maintain and monitor the meeting room and events within the office premises.

  • Keep up-to-date with all official and business contact numbers.

  • Perform any other duties assigned by management as required.

  • Any other duties assigned by the management if and when required.
