Responsibilities & Context: Front Office Management:
- Greet and assist all visitors, students, and parents in a courteous and professional manner, ensuring a welcoming atmosphere at all times.
- Maintain a tidy and organized reception area that reflects the school’s positive image.
Communication Hub:
- Answer, screen, and route incoming calls promptly and professionally; take accurate messages and ensure timely follow-up.
- Serve as a key communication link between school administrators, teachers, and parents to ensure smooth information flow.
- Handle general inquiries in person, by phone, and via email with accuracy, patience, and confidentiality.
Administrative Support:
- Provide general administrative and clerical support including document preparation, data entry, photocopying, filing, scanning, and correspondence management.
- Manage incoming and outgoing mail and courier services efficiently.
- Assist with ordering, inventory control, and maintenance of office supplies and equipment.
- Support the administrative team in day-to-day operational tasks and special assignments.
Record Keeping & Data Management:
- Maintain and update student and staff records in the school’s information management system.
- Record attendance and contact information accurately while ensuring confidentiality and compliance with data protection regulations.
- Assist in preparing reports, lists, and other documentation as required by management.
Scheduling & Event Coordination:
- Coordinate and maintain school calendars, appointments, and meeting schedules.
- Assist in organizing school events, parent-teacher meetings, workshops, and official visits.
- Provide logistical support before, during, and after school events to ensure smooth execution.
Other Responsibilities:
- Support the school management with any additional duties as assigned, contributing to the overall efficiency and positive environment of the institution.
- Uphold the values, mission, and vision of the school through professional conduct and teamwork.
- Manage the visitor sign-in/out process, issue visitor passes, and ensure compliance with the school’s safeguarding and security policies.
