Key Responsibilities:

  • Handle incoming telephone calls with professionalism - assisting callers, taking accurate messages, and providing clear, relevant information.

  • Greet and assist visitors courteously, respond to inquiries, and ensure a positive visitor experience while coordinating effectively with all departments.

  • Maintain and update essential records, including program tracking, staff movements, and other key documentation.

  • Keep a detailed and accurate visitor log, including full names, addresses, and contact information.

  • Manage incoming and outgoing correspondence letters, emails, and documents and ensure timely, accurate delivery to the appropriate personnel.

  • Organize and maintain the appointment calendar efficiently to support smooth daily operations.

  • Receive and record customer queries, directing them promptly to the relevant departments for timely follow-up and resolution.
