Responsibilities & Context:

1. Receiving Materials:

   • Receive, inspect, and verify all incoming materials and supplies.

   • Check delivery notes and invoices for accuracy.

   • Report damaged or missing items.

2. Storage & Inventory Management:

   • Properly store materials in designated areas to avoid damage or loss.

   • Ensure items are stored in a clean, organized, and safe manner.

   • Maintain stock levels and update inventory records regularly.

3. Issuing Materials:

   • Issue materials and supplies to staff based on requisition slips.

   • Record all issues and returns in the inventory system.

4. Stock Control & Record-Keeping:

   • Maintain accurate stock records using manual registers or inventory management software.

   • Monitor stock levels and initiate replenishment orders when necessary.

   • Conduct regular stock audits and reconcile discrepancies.

5. Safety & Compliance:

   • Ensure the store complies with health, safety, and environmental regulations.

   • Label hazardous materials and ensure proper handling.

   • Keep the storage area clean and free from hazards.

6. Reporting:

   • Prepare daily, weekly, and monthly reports on stock levels, usage, and requisitions.

   • Inform management of slow-moving or obsolete stock.

7. Coordination:

   • Liaise with procurement, accounts, and other departments to ensure timely supply of materials.

   • Assist in annual physical inventory counts and audits.
