Additional Requirements: At least 3 years of experience in an administrative role, preferably in an educational setting.
Excellent written and verbal communication skills are essential for effective communication with students, parents, teachers, other staff members and local government authorities.
Ability to manage multiple tasks, prioritize responsibilities, and meet deadlines is crucial.
Proficiency in using office software such as G Suit (Word, Spreadsheet, Drive).
Ability to work well with diverse groups of people, including students, parents, teachers, and other staff members.
Adept at identifying and resolving problems efficiently and effectively.
Precision in record-keeping, data entry, and administrative tasks to ensure accuracy.
Ability to adapt to changes in a dynamic educational environment.
Responsibilities & Context: Administrative Work:
- Maintain the monthly budget & expenses of the branch and submit the budget timely. Inform & get approval from the Central Admin Team if the budget exceeds.
- Monthly procurement work as per the final budget and submit the expense log, hardcopy & scanned copy of the bills as per the deadlines.
- The Sr. Admin Officer will be responsible for arranging events by coordinating with the Sr./Education Coordinators, Teachers and Students, such as celebrating special events.
- He/She is also responsible for attending to the visitor and giving him/her a tour of the entire school and giving a briefing about the organization and the branch.
- Purchase, manage and distribute hygiene products and nutrition products according to the organizational policy.
- Help in the production of academic materials such as photocopies of worksheets, and question papers. While preparing the budget he/she is responsible for adding the cost of these materials and reproductions of these materials.
- Regular, Monthly, Quarterly & Yearly Postage & Delivery work. (Like- Bills, Stationery, Books, Notebooks, School Uniforms & others)Construction work supervision, picture sharing and update provide to supervisor.
- Supervise and monitor cleaning & maintenance of the branch.
- Sr. Admin officer will be responsible for establishing and maintaining effective communication and relationships with Primary Education Office & Secondary Thana & District Education Office and concerning government offices.
- He/She will have to do the necessary work regarding student board registration.
- He/She will have to do the necessary work regarding the NGO bureau.
- Government-related any kind of work.
Students and Community Management:
- Keep track of students' attendance, and dropouts - monitor, control, communicate and prevent dropouts and irregularities.
- Provide information to the Sr./Education Coordinator and Child Welfare Team about the updates/medical issues, etc. of the students.
- He/she must remain updated about the attendance details (absenteeism and late attendance) of the students and must be able to give updates to the Child Welfare Team when students are absent for 3 consecutive days and the reason behind it.
- Complete the student's admission process according to the organizational policy.
- During admission interviewing students guardians and parents.
- Maintain a good relationship with the Local Community.
- Frequent visits to the respective student’s home
Documentation:
- Maintain inventory and monitor their usefulness.
- Record the stock in and stock out, which must be entered into the record.
- He is responsible for maintaining the proper documentation (both hard and soft copies of the legal papers of the school property, registration of the land, asset purchasing photocopy with warranty copy (original), and receipt of a photocopy of rents and utility bills. and so on, and distributing them promptly.
Recruitment:
- The Sr. Admin Officer will be responsible for sourcing and hiring staff for the branch.
Supervision and Guidance:
- Monitoring the attendance of all staff of the branch and reporting to the Sr./Education Coordinator about the attendance of teachers.
- The Sr. Admin Officer is the line manager of the Community Officer and Support Staff. He/she will be responsible for dealing with their work-related challenges and guide them from time to time.
