Job Context:
Apon Ghor Foundation is looking for a dedicated, organized, and responsible HR & Admin Officer to manage overall human resource activities and administrative operations. The role requires strong coordination, documentation, and communication skills to ensure smooth office management and effective staff supervision.
Key Responsibilities:
Human Resource Management:
Manage full recruitment process including job posting, screening, interviewing, and selection.
Prepare appointment letters, contracts, and other HR documents.
Maintain employee database and personal files.
Manage attendance, leave records, and staff attendance tracking system.
Assist in performance evaluation and staff development activities.
Support training and capacity-building programs.
Administrative Management:
Ensure smooth day-to-day office operations.
Manage office supplies, equipment, and logistics.
Supervise office cleanliness, security, and general environment.
Coordinate maintenance work and utility bill management.
Organize meetings, workshops, and official programs.
Financial & Documentation Support:
Prepare and verify official bills, vouchers, and expense documents.
Maintain proper filing and documentation system for audit purposes.
Support basic financial record keeping related to admin activities.
Payroll & Staff Support:
Assist in monthly payroll preparation.
Maintain records of overtime, allowances, and benefits.
Support HR policy implementation and compliance.
Field Coordination:
Coordinate with field staff and volunteers.
Collect, verify, and maintain field reports and documentation.
Reporting & Compliance:
Prepare monthly and periodic HR and admin reports.
Ensure compliance with organizational policies and donor requirements.
Maintain accurate records for internal and external audits.
