The Site Store & Materials Controller will be responsible for monitoring and controlling construction materials across the Company's various project sites.
The individual will regularly travel between different construction sites to ensure that required raw materials, construction materials, equipment and consumables are available at each site, properly received, recorded, stored and utilized.
The position will also be responsible for following up on material orders and confirming that ordered products have been delivered to the correct project site in the required quantity and specification.
The primary objective of this role is to prevent material shortages, delivery delays, wastage, unauthorized usage and discrepancies between materials ordered, received and consumed.
Regularly visit all assigned construction sites according to a predetermined schedule.
Check the availability of all critical construction materials at each site.
Maintain a site-wise record of available stock.
Identify materials that are running low and notify the relevant Project Manager/Management before shortages occur.
Monitor minimum and maximum stock levels for frequently used materials.
Ensure that materials are available according to the project's construction schedule.
Coordinate with site engineers and supervisors to understand upcoming material requirements.
Maintain a detailed record of all materials ordered for each project.
Track purchase orders from the time of order placement until delivery at the site.
Follow up with suppliers regarding pending deliveries.
Confirm expected delivery dates and communicate delays to management.
Verify that ordered materials have actually reached the designated construction site.
Record delivery date, supplier, quantity and project/site against every delivery.
Immediately report delayed, incomplete or missing deliveries.
Upon delivery of materials, verify:
Quantity received against the purchase order/challan.
Product specifications against the approved order.
Brand/manufacturer where applicable.
Quality and condition of materials.
Damaged, defective or missing items.
Correct project/site destination.
Coordinate with site personnel to ensure materials are properly unloaded and stored.
Ensure that no material is accepted without proper documentation.
Maintain accurate site-wise inventory records.
Conduct regular physical stock counts.
Reconcile physical stock with records.
Identify discrepancies between:
Materials Ordered → Materials Delivered → Materials in Stock → Materials Consumed.
Report any unexplained shortages or discrepancies immediately.
Monitor material wastage and unusual consumption.
Maintain records of returned, damaged or rejected materials.
Monitor movement of materials between different construction sites.
Ensure that materials transferred from one site to another are properly documented.
Maintain records of the quantity, source site and destination site.
Ensure that materials are not moved without proper authorization.
Coordinate closely with the Procurement Department regarding pending orders.
Coordinate with Project Managers, Site Engineers, Store Assistants and Accounts.
Provide regular updates regarding material availability and pending requirements.
Inform management of materials that may affect project timelines.
Assist procurement personnel in identifying urgent requirements.
Verify supplier deliveries against approved purchase orders.
Maintain and submit:
Daily/weekly site material status reports.
Site-wise stock reports.
Material delivery reports.
Pending purchase order reports.
Material shortage reports.
Material discrepancy reports.
Material transfer records.
Damaged/rejected material reports.
Monthly inventory reconciliation reports.
