Currently, the country office of Muslim Aid- UK Bangladesh is in Dhaka. As a part of country Health programme of MABFO, Muslim Aid Community Hospital (MACH) Kulaura is a 20 bedded hospital with a well arranged Operation Theater, 24 hours USG, Ambulance facilities, treatment by Senior Consultants of Medicine, Diabetes, Gynecology, ENT, Pediatric, Surgery department registered by Ministry of Health for the greater Kulaura.
∎ Muslim Aid- UK is registered in Bangladesh under the Foreign Registration Ordinance with the NGO Affairs Bureau. Programmes and institutes are registered/affiliated with Social Welfare Department, BTEB, Joint Stock Company under Society Act, MRA and Directorate of Health Services. Muslim Aid ensuring sectoral services to fulfil the pledge of Bangladesh
∎ Responsible for: The Senior Officer HR and Admin is directly responsible for monitoring day-to-day work and direct supervision of the below mentioned sections and establish adequate info flow and monthly reporting mechanism:
∎ 1. Human Resources Management
∎ 2. Administration -
∎ a. General Admin including asset management
∎ b. Logistics *
∎ c. Procurement
∎ * Logistics literally means the activity of organizing the movement, equipment, and accommodation. At Muslim Aid it includes services of vehicle management, arrangements for staff and visitors/donor/partners in-country and foreign visits with necessary visa/ticket etc. support and accommodation.
∎ Purpose of the Post:
∎ This position is responsible to ensure the office (including its all projects/branch offices) is functioning efficiently and effectively enabling MABFO to serve its beneficiaries with all necessary standard of an INGO, i.e.: country rules-regulations, Muslim Aid`s policies, procedures operational and communication standard.

Job Responsibilities:
∎ Strategy Development & Representation:
∎ Communicate and represent on behalf of the organization to uphold its prestige
∎ Deal legal complicated issues professionally with confident
∎ Contribute to the overall improvement and development of the organization with innovation, revolution and leadership.
∎ Self-starter and proactive to solve issues, concerns
∎ Forecast risks, issues and opportunities, discus and settle/implement
∎ Ensure uniformity in banding and marketing of the organization throughout the country
∎ Build and maintain communication, liaison, and linkages with high level stakeholders of all level. Ensure representation in meetings of top level forums, seminar/conference.
∎ Human Resources Management:
∎ Ensure proper HR review and organogram to place right person to the right place in light of the strategic plan of the organization
∎ Ensure proper, justified performance management
∎ Establish career path for existing and new staff
∎ Establish proven knowledge management system in the organization
∎ Regular review, keep up to date staff contracts, scaling of salary with grade, step and position as well as staff benefit packages, like - mobile, internet, TA/DA, PF, gratuity according to the trend of INGO practices and legal compliances
∎ Ensuring compliance with legal, contractual or statutory procedures on HR management such as recruiting, welfare benefits and work contract termination.
∎ Supervise documentation, reporting and tasks of the HR-Coordinator
∎ Manage personnel's individual and collective development, such as identify accurate cost effective in-country and foreign training, assessment and promotions.
∎ Overseeing the smooth running of HR-related administrative tasks, such as holiday management, sick leave, replacement jobs and wage payments.
∎ To ensure disciplinary and grievance procedures; and payroll.
∎ To ensure that the organisation's health and safety, security and evacuation plans and procedures, equality, diversity and inclusion policies are fully implemented and reviewed at all times and in all aspects of service delivery and employment.
∎ To oversee the human resources function, ensuring the provision of advice on HR matters to the CD and senior management team, including the development and review of relevant HR strategies, policies and procedures;
∎ Administration:
∎ Supervise, lead the administration section
∎ Ensure everyday administrative check and verification
∎ Lead and ensure proper asset and inventory management
∎ Lead and ensure logistics and protocol services
∎ To ensure Muslim Aid has an efficient and effective registry and reception services;
∎ To ensure that all Office Service Equipment, and contracts are managed effectively and efficiently to provide customer focused service, (this includes office rent, postage, and photocopiers);
∎ To oversee the correct management of a range of facilities management services including cleaning, security, fire protection, vehicles;
∎ To implement a policy of continuous improvement and develop, present and implement new ideas to improve the scope and quality of service delivery standards;
∎ To ensure Muslim Aid meets its legal obligations in relation to audit and implementation of best health and safety practice;
∎ To ensure and maintain an effective internal and external communication strategy, that promotes the emerging organisational culture and ensures that comprehensive approaches to communication are in place.
∎ Ensure expat's visa requirements are met by the administration section
∎ Ensure getting approval of projects and others from NGOAB/Government offices
∎ Ensure up-to-date registration documents
∎ NGAB communication for getting approval
∎ Entire procurement related support for the Muslim Aid Bangladesh Field Office
