Supervises (for Senior Executive level): Odoo Executive(s), Departmental ERP Users, and Vendor Support Teams

Role Overview:

The Odoo & Digital Operations Executive/Senior Executive is responsible for managing the full spectrum of ERP operations and digital transformation initiatives across all Cityscape Lifestyle outlets — including The Cave Bar, Aandaaz, Happiness Café, Nirvana, and Cityscape Gym.

The role ensures smooth operation, accurate data entry, and real-time reporting across modules such as Sales, Membership, Accounting, Inventory, HR, Procurement, and POS.

At the senior level, the position also drives system integration, automation, and data analytics to make Odoo the single source of truth for management decisions and operational control.

Key Responsibilities:

ERP Operation & Monitoring

• Manage and monitor daily transactions and data entries in Odoo.
• Maintain accurate member databases, invoices, payments, and sales records.
• Support procurement, inventory management, and stock reconciliation.
• Ensure POS synchronization between all outlets and the central ERP system.
• Report errors, missing data, or module issues to the IT or vendor support team.
• Generate daily, weekly, and monthly management reports on sales, expenses, membership activity, and stock levels.

System Implementation & Customization

• Support or lead implementation, testing, and upgrading of Odoo modules.
• Customize workflows, dashboards, and reports as per operational requirements.
• Coordinate with Odoo service providers for module development, troubleshooting, and maintenance.

Digital Transformation & Process Automation

• Identify manual workflows and transform them into automated Odoo processes.
• Develop integrated dashboards and analytical tools for performance tracking.
• Align ERP workflows with strategic goals to ensure efficiency, transparency, and profitability.

Data Accuracy & Reporting Control

• Ensure timely and accurate departmental data updates in Odoo.
• Generate analytical and management reports (sales, ROI, expense, member behavior, stock variance).
• Provide executive summaries for decision-making, audits, and performance evaluation.

Training & User Support

• Train departmental staff (cashiers, receptionists, F&B teams) on Odoo operations.
• Create user manuals and SOPs for department-wise ERP usage.
• Conduct internal audits to ensure compliance and data consistency.

Integration, Compliance & Security

• Integrate CRM, HR, POS, and Accounting modules for unified data flow.
• Manage data confidentiality, access control, and system security.
• Ensure compliance with legal, tax, and audit requirements related to financial and member data.

Performance Indicators (KPIs):

• Successful and timely onboarding of all departments into Odoo.
• Real-time, accurate ERP reporting across all outlets.
• Reduction of manual reporting errors by at least 80%.
• Timely delivery of automated dashboards and reports.
• Improved operational efficiency and cost control through digital automation.
