Education:
  • Bachelor's degree in Human Resource Management, Management, Business Administration, Labour Law, or a related discipline.

  • MBA/PGD in HRM will be an advantage.

  • Practical experience in attendance management and payroll processing is required.

  • Experience with HRIS/Payroll software and biometric attendance systems is preferred.



Responsibilities & Context:

Department: Human Resources & Administration

Reporting To: HR Manager / Head of HR & Admin

Location: Factory (Rupgonj, Narayangonj)

Industry: Footwear / Manufacturing

Job Purpose

To support the effective operation of the Human Resources function by managing employee records, attendance, payroll-related activities, recruitment support, labour-law compliance, employee discipline, leave management, and day-to-day HR administration in accordance with company policies and applicable Bangladesh Labour Laws.

Key Responsibilities

Attendance & Time Management

  • Monitor daily attendance through biometric/attendance machines.

  • Check and verify Attendance Machine Records including In-Time, Out-Time, late attendance, early leaving, absence and overtime.

  • Prepare daily, weekly and monthly attendance reports.

  • Identify attendance discrepancies and coordinate with concerned departments for correction.

  • Maintain records of late attendance, absenteeism, leave, holiday and overtime.

  • Monitor shift schedules, weekly holidays and roster changes.

  • Ensure attendance data is properly transferred/exported to the payroll system.

  • Prepare management reports on absenteeism, lateness, overtime and attendance trends.

Payroll & Payroll Software

  • Operate and maintain the company's Payroll/HR Management Software.

  • Input and update employee master data, salary information, attendance, leave, overtime, deductions and other payroll-related information.

  • Process monthly payroll data accurately and within the scheduled timeline.

  • Reconcile attendance records with payroll records before salary processing.

  • Calculate/verify overtime, late fines, absence deductions, leave-related adjustments and other authorized deductions.

  • Coordinate with Accounts/Finance regarding payroll preparation and payment.

  • Maintain confidentiality of salary and employee information.

  • Generate payroll reports, salary sheets and other HR-related reports from the software.

  • Identify and resolve payroll data discrepancies in coordination with the HR Manager/Software provider.

Labour Law & Compliance

  • Maintain practical knowledge of the Bangladesh Labour Act, 2006, Bangladesh Labour Rules, 2015 and applicable amendments/rules.

  • Ensure HR practices relating to appointment, wages, working hours, overtime, leave, holidays, probation, termination, resignation, disciplinary action and employee benefits are aligned with applicable labour requirements.

  • Maintain statutory and personnel records required under applicable labour legislation.

  • Assist in preparing appointment letters, warning letters, show-cause notices, resignation/final settlement documents and other HR letters.

  • Support labour-law compliance during internal and external audits.

  • Monitor employee age documentation and ensure appropriate records are maintained.

  • Assist in maintaining records related to worker welfare, service benefits, leave and other statutory requirements.

  • Stay updated on relevant changes in labour laws and communicate applicable requirements to management.

Employee Records & HR Documentation

  • Maintain employee personal files and HR databases.

  • Update employee information relating to joining, transfer, promotion, confirmation, resignation and separation.

  • Ensure proper documentation of NID/birth certificate, photographs, educational certificates and other required documents.

  • Maintain confidentiality and security of employee records.

  • Prepare HR MIS and management reports as required.

Recruitment & Joining

  • Support recruitment activities including CV screening, interview scheduling and candidate communication.

  • Prepare joining documentation and employee files.

  • Coordinate employee onboarding and orientation.

  • Ensure newly recruited employees are properly entered into the HR/Payroll system and attendance machine.

Leave & Overtime Management

  • Maintain and update employee leave records.

  • Verify leave applications against attendance records.

  • Prepare monthly leave and absenteeism reports.

  • Verify overtime records with production/departmental supervisors.

  • Ensure approved overtime is correctly reflected in payroll.

Employee Relations & Discipline

  • Assist in handling employee grievances and day-to-day HR issues.

  • Maintain disciplinary records.

  • Support implementation of company rules, policies and procedures.

  • Coordinate with departmental heads regarding absenteeism, misconduct, late attendance and other employee-related issues.

  • Maintain proper documentation of disciplinary actions in accordance with applicable law and company policy.

Audit & Compliance Support

  • Prepare HR documents and records for BSCI, SEDEX/SMETA, WRAP, ISO and customer/social compliance audits, where applicable.

  • Ensure attendance, payroll, leave, employee files and labour-law records are properly maintained.

  • Support corrective and preventive actions related to HR audit findings.

  • Ensure HR records are accurate, traceable and readily available for audit purposes.
