Responsibilities & Context:

• Draft and/or review official letters, reports, and other mission-related documents.

• Arrange and manage schedules, appointments, meetings, and staff calendars (including leave and absences).

• Maintain records of incoming and outgoing communications (calls, mail, and correspondence), ensuring timely follow-up.

• Take minutes of meetings and ensure proper documentation and sharing.

• Manage incoming and outgoing mail, packages, and courier services, ensuring proper registration and distribution.

• Coordinate courier services and verify related documentation and billing.

• Monitor and replenish office stationery, ensuring availability at all times.

• Supervise document printing, copying, and binding as required.

• visitors and guests when needed, ensuring a clean and professional reception area. (or: Welcome visitors…)

• Report any incidents or administrative issues to the supervisor.

• Organize internal and external events (meetings, workshops, presentations), including invitations, logistics, catering, and accommodation.

• Support staff induction processes, including preparing materials and coordinating training sessions.

• Prepare, distribute, and collect administrative and HR-related forms and documentation.

• Maintain and regularly update personnel files, ensuring accuracy, completeness, and confidentiality.

• Support recruitment processes by coordinating candidate communication, interview scheduling, and follow-ups.

• Prepare and disseminate internal communications such as memos and notices (e.g., IPD/OPD areas).

• Ensure timely and confidential distribution of staff payslips.

• Scan, file, and systematically archive payroll and administrative documents.

• Maintain efficient filing systems to ensure easy retrieval of documents.

• Manage internal requests for office and training-related materials.

• Prepare and issue ID cards for newly recruited staff.
