Job Context: The receptionist is the first point of contact for clients, visitors, and stakeholders, representing the organization with professionalism and courtesy. This role ensures smooth front-desk operations, effective communication, and administrative support to contribute to the overall efficiency of the office.

Job Responsibilities

Front Desk & Visitor Management

  • Greet and welcome guests in a friendly and professional manner.
  • Answer, screen, and forward incoming calls while providing accurate information.
  • Manage visitor logbooks, ID cards, and security procedures.
  • Maintain cleanliness and organization of the reception area.

Communication & Coordination

  • Handle incoming and outgoing mail, courier services, and packages.
  • Respond promptly to inquiries via phone, email, or in-person.
  • Coordinate meeting room bookings and support scheduling needs.
  • Relay messages accurately to staff and management.

Administrative Support

  • Assist in data entry, filing, and document management.
  • Maintain records of office supplies and coordinate procurement.
  • Support the HR or Admin team with clerical tasks when required.
  • Prepare basic reports and maintain attendance or visitor registers.

Professional Conduct

  • Represent the company positively to clients, visitors, and partners.
  • Uphold the confidentiality of sensitive company information.
  • Ensure compliance with office policies and procedures.
  • Assist in organizing office events, meetings, or training sessions
