Job Context:
∎ Islamic Relief is implementing Child Rights programme in Bangladesh for both orphan & non-orphan vulnerable children through different interventions. We work to ensure a safe and child-friendly life for children and thus translate its vision into achievement following the United Nations Convention on the Rights of the Children (UNCRC). We administer various programmes under this.
∎ One to One child sponsorship programme
∎ Focus and furnish family and community-based model programme for orphan children
∎ Ensure sustainable livelihood support for orphan children families
∎ Provide essential healthcare to the families of orphan children
∎ Support 7000 orphan children across the country
Job Responsibilities:
∎ Projects & Program (OSP) Implementation-80%
∎ Provide administrative and operational support to the programme.
∎ Support in projects and departmental financial resources management, efficient procurement, and logistical services as assigned;
∎ Facilitate the process of Terms of Reference, Notes for Records, and other associated papers;
∎ Participate in team meetings and other events where necessary and take notes to prepare draft meeting minutes;
∎ Preserving and maintaining up-to-date files of the projects and program department as well
∎ Support to organize events (meetings, training) by ensuring the logistics.
∎ Support to ensure the travel arrangements including preparing TAF, PR and so for the programme team;
∎ Preserve files of the individual beneficiaries and other necessary documents timely at the programme level
∎ Update relevant filing and documentation from time to time on a regular basis;
∎ Take approval of Purchase Requisition, Money Requisition, TAF, KYC, Beneficiaries list, and other relevant;
∎ Prepare Material requisition and process taking approval for project and program;
∎ Support to send different documents, and materials through courier to field offices;
∎ Keep tracking of KYC and make an Excel sheet for that;
∎ Keep tracking of visitors to CRP;
∎ Managing and keeping track of meetings of CRP;
∎ Compile projects and program’s related information/data from field offices and keep all the file/document records proactively;
∎ Communication and Knowledge Management-10%
∎ Ensure effective communications, visibility, and knowledge management
∎ Assist to develop BCC & IEC materials such as leaflets, quarterly newsletters, and so on;
∎ Support to coordinate between the field office and IRCO;
∎ Others (10%).
∎ Propose some methodology, according to the proposal, and provide it with the experience and lessons learnt from the other organizations.
∎ Ensure visibility of the project.
∎ Participate & involve with seasonal programs (Ramadan, Qurbani, Winterization etc.) activities.
∎ Support in the procurement of materials like requisition, follow-up etc.
∎ Facilitate donor/external visits and ensure that recommendations of visitors are addressed.
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment, exploitation, Fraud, Bribery & Money Laundering to achieve the program's goals of safeguarding implementation and as well as Act as a key source of support, guidance, and expertise on the safeguarding of harm, abuse, neglect, harassment, and exploitation, Fraud, Bribery & Money Laundering for establishing a safe working environment
∎ Ensure proper implementation and compliance of organization systems and policies such as the complaint response and feedback mechanism, safety and security policy, child rights and PSEA at the field level.
∎ Being a member of Islamic Relief as a child-friendly organization, it is the core responsibility and obligation of each staff member to understand and obey the IR Child Protection & PSEA Policy and respond accordingly as and when required.
∎ Willing and able to travel frequently for extended periods and to remote areas of the projects.
∎ Perform any other duties assigned by Supervisor.
