Responsibilities & Context:

Office Administrator

  • Regular Documentation & Records Management
  • Maintain organized filing systems for both soft and hard copies of all official documents.
  • Ensure secure backup of digital records.
  • Keep employee records, contracts, and official correspondence updated and easily accessible.
  • Employee Attendance & HR Support Monitor and record daily employee attendance and leave records.

Office Inventory Management

  • Track, record, and maintain stock of office supplies, equipment, and consumables.
  • Manage incoming and outgoing correspondence (emails, letters, courier).
  • Coordinate logistics for meetings, events, and official travel.
  • Maintain a clean, organized, and functional office environment.
  • Prepare and circulate office notices, memos, and meeting minutes.
  • Assist with recruitment logistics and on-boarding documentation.

Liaison & Compliance

  • Act as a liaison with vendors, service providers, and external stakeholders.
  • Ensure office operations comply with company policies and applicable regulations.

Accountant

  • Handle day-to-day petty cash transactions with accurate record-keeping.
  • Prepare and submit monthly VAT returns as per legal requirements.
  • Prepare and submit monthly income tax returns (TDS) for the organization.
  • Maintain accurate records of all financial transactions using accounting software/manual ledger.
  • Record bank transactions, receipts, and disbursements.
  • Prepare monthly financial statements and reconciliations.
  • Payroll Support Assist in the preparation of monthly payroll in coordination with HR.
  • Ensure compliance with tax deductions, benefits, and other statutory obligations.
  • Maintain proper records and assist external auditors during annual audits and financial assessments.
  • Bank & Vendor Coordination Handle bank deposits, withdrawals, and reconciliation.
  • Liaise with vendors for payments, invoices, and credit terms.
