Responsibilities & Context:

Context:

This position, which serves as a Personal Secretary to the Vice Chairman, will be a driving force in ensuring operational excellence and excellent communication. This role will encompass a wide array of responsibilities, including managing the VC schedule, coordinating travel logistics, and ensuring smooth communication channels. A keen eye for detail, exceptional organizational skills, and a commitment to confidentiality are essential to succeeding in this role. Job Responsibilities:

  • Manage the electronic diary and prioritize appointments. Arrange travel arrangements, including visas and accommodations. Process correspondence, ensuring timely responses.

  • Maintain office systems and filing. Keep accurate records of contacts.

  • Screen calls, inquiries, and requests, handling them accordingly. Assist in following up on matters within the MD's responsibility. Chase responses and trigger follow-up actions.

  • Handle all personal financial transactions. Create documents, briefing papers, reports, and presentations. Prepare status reports and coordinate meetings. Prepare reports for the MD in various sectors of the company.

  • Organize and prepare meetings, including agendas and pre-meeting briefings. Manage arrangements for meetings, including plans and paper distribution.

  • Greet and engage visitors of varying seniority levels.

  • Supervise incoming and outgoing email for the trust. Assist with various administrative tasks and day-to-day banking activities.

  • Liaise with internal departments, external organizations, and stakeholders. Correspond with the Government and nongovt. organizations, embassies, INGOs, and NGOs.

  • Arrange healthcare and handle personal tasks. Arrange visits to industries and assist in coordinating with departments, individuals, and resources. Maintain structured documents, schedules, and travel-related evidence.

  • Maintain public relations with government agencies, trade associations, and companies. Ensure airport protocol services and manage protocol for foreign consultants and investors.

  • Calendar and schedule management entails overseeing the MD's daily and long-term schedule. Scheduling meetings, appointments, and events while considering the MD's availability and priorities.
