Christian Service Society (CSS) is a renowned national NGO in Bangladesh working in Health, Education, Economic and Enterprise development sectors. We are currently looking for an experienced "Liaison Coordinator” who will be responsible for facilitating communication and coordination between CSS and external offices, particularly government and non-government entities in Dhaka. The role focuses on submitting documents on behalf of relevant departments, tracking their progress, and actively following up to expedite approvals and decisions while keeping all concerned teams informed. The role also supports Dhaka Office administration, Dhaka-based fundraising liaison, logistics, and operational coordination under the guidance of the Director – International & Research.
Job Responsibilities:
1. Government & Stakeholder Liaison (Operational Support):
Facilitate communication between the organization and government offices, regulatory bodies, and external stakeholders.
Assist in arranging meetings, appointments, and official visits.
Act as the focal point for submitting documents to government and other external offices on behalf of relevant departments.
Maintain regular follow-up with concerned offices to expedite approvals and decisions.
Track the progress of submitted documents and proactively update the respective departments.
Participate in fundraising-related meetings and assist with the preparation of required documents.
2. Documentation & Approval Process Facilitation:
Support relevant departments in the submission of required documents to concerned authorities and external offices.
Review documents for completeness, including required attachments, signatures, and supporting documents, before submission.
Ensure proper submission, official formatting where required, and timely processing of documents.
Maintain a tracking system for all submitted documents, including submission dates, current status, follow-up actions, and outcomes.
Liaise with relevant departments to address queries, observations, or feedback received from government and other external offices.
Ensure the timely flow of information between relevant departments and external stakeholders.
Follow up internally to ensure that required actions, submissions, and responses are completed within the prescribed timelines.
Promptly inform relevant departments of approval status, feedback, pending requirements, or further actions required.
Actively follow up with concerned offices to monitor and facilitate approval processes.
Identify delays or bottlenecks in the approval process and escalate significant issues to the Director when necessary.
Maintain an updated timeline or status dashboard of all pending submissions and approvals.
3. Dhaka Office Administration & Logistics:
Support the day-to-day administrative operations of the Dhaka Office and Kapasia Office.
Assist with procurement and vendor coordination as required.
Supervise drivers and support staff to ensure operational efficiency.
Manage vehicle scheduling, maintenance follow-up, and vehicle usage logs.
4. Guest & Protocol Support:
Organize logistics and arrangements for national and international visitors.
Coordinate schedules, transportation, accommodation, and other official arrangements in Dhaka, as required.
Receive guests at the airport, when necessary, and accompany them as required.
Provide timely updates to the Directors and relevant departments regarding visitor schedules and arrangements.
5. Marketing, Business Development & Institutional Promotion:
Develop and implement marketing and promotional activities to increase the visibility and utilization of Ava Center, Hope Polytechnic Institute, Hope Vocational Training Center, Nursing Institute, and RAWM Hospital in Dhaka.
Establish and maintain relationships with corporate organizations, government agencies, NGOs, development partners, and community networks to promote institutional services.
Coordinate the dissemination of brochures, promotional materials, presentations, and other marketing resources in collaboration with relevant departments.
Conduct market intelligence and competitor analysis to identify emerging opportunities, understand client needs, and identify areas for service improvement.
Prepare periodic reports on marketing activities, outreach efforts, and performance.
Support fundraising and institutional branding initiatives under the guidance of the Director-International & Research.
