Responsibilities & Context:
∎ Assist in drafting standardized vacancy announcements in line with benchmarks for each position.
∎ Arrange for internal and external job vacancy advertisements to attract a pool of potential candidates.
∎ Assist in preparing the longlisting of candidates using standard CV evaluation and criteria.
∎ Circulating job descriptions and other necessary documents are issued and dispatched timely.
∎ Maintaining a coding system for the interview process is properly implemented.
∎ Assist in administering suitable tests and interviews and participate on the interview board to select the best candidates.
∎ Carry out reference checks process.
∎ Issue job offers and appointment letters to finally selected candidates within the agreed time frame.
∎ Monitor that relevant scoring criterion are followed and test formats are used according to the set HR standard of the project for relevant positions, especially in field-level recruitment.
∎ Assist in preparing short-term contracts and apprenticeship contracts as and when needed.
∎ Contact the project and field offices for staff requirements.
∎ Prepare and submit reports on staff recruitment and status changes.
∎ Assist in preparing staff contract renewals are being made as per policies and timelines.
∎ Prepare relevant HR letters and ensure proper documentation and record·
∎ Update the leave status of staff.
∎ Assist in maintaining leave analysis·
∎ Assist in preparing Policy training on key HR policies.
∎ Update employees’ personnel and confidential files.
∎ Prepare PCF of new employees for all types of contracts.
∎ Maintain recruitment files.
∎ Collect information for key factor assignment through e-mail from newly joined staff and dissemination to the concerned persons·
∎ Information collection for key factor assignment from existing staff who have gone through any sort of change like transfer, promotion, re-designation, etc.
∎ Providing information to assist the audit process.
∎ Assist staff regarding their health insurance and medical benefits. (If any)
∎ Ensuring Onboarding formalities and assisting in the induction program·
∎ Set the exit interview schedule for the offboarding staff and collect required documents/equipment such as resignations, handover notes with relevant documents, etc.
∎ Assist in drafting holiday lists as per policy and Govt. holiday lists for every calendar year.
∎ Frequent field visits are required or as assigned by the supervisor.
∎ Submit a report of field visits.
∎ To ensure all records are maintained and stored appropriately in line with MA document management and IT policies.
∎ To comply with all policies, procedures, legal and regulatory requirements.
∎ Any other duties commensurate with the accountabilities of the post.
∎ Job Purpose: The HR Assistant Officer will contribute to providing all sorts of assistance to MACHs, MAITs, and any other project of MABCO. S/he is responsible for providing general human resource support to MABCO, including keeping personnel records and documentation for all employees and participants to maintain compliance with Muslim Aid-driven hiring policies. S/he is also responsible for assisting in preparing and updating the staff database and maintaining staff leave management.S/he is expected to have a general concept of HR operations and deal with employee matters in line with HR policies and procedures.
