Responsibilities & Context:

Operation

  • Ensure day-to-day operations of the HR and administrative functions.
  • Making, implementing, developing and maintaining company HR policies and SOPs.
  • Preparing company organogram and updating time-to-time.
  • Setting up duty roster of employees.

Training & Development

  • Prepare training program (Join Pack)/orientation duty program for new hired employees.
  • Arranging employee skill development and other training programs as required.

Recruitment

  • Managing recruitment procedures with particular attention to job advertisement, CV short listing, written & oral interviews, selection and placement of all new hires.
  • Analyze the vacancy status and initiate for recruitment to fulfill the vacancies.
  •  Human resources planning and budget for it.
  • Preparing job description for different positions and issue job description letter.
  • Maintaining CV bank for quick replacement of manpower as per company demand.
  • Develop, implement and oversee the recruitment process. 

Employee Information

  • Preparing & updating employee database and personal files in a regular manner.
  • Preparing non-disclosure agreement of company & completing this with employee.

Circulation

  • Issue and circulate all kinds of office notices and office orders.
  • Issue job offer letter, employment letter, employment confirmation letter, salary review & increment letter, warning & show cause letter, transfer & termination letter.

Employee Joining & Release

  • Conducting staff joining and release procedures.  
  • Arranging employee orientation, farewell and different employee engagement programs.
  • Issue e-mail to inform management about new joined, job left and terminated employee.
  • Preparing bill of employee final settlement, benefit and compensation.
  • Preparing & maintaining HR checklist for new joined, resigned and terminated employee.
  • Issue experience certificate, release certificate and salary certificate for employee.

Issuance Employee Accessories

  • Issue employee accessories, official uniforms and corporate mobile number.
  • Opening employee bank salary account and transfer salary amount as per account.
  • Locker, uniform & name plate allocation among employees & maintain register for this.
  • Arranging ID card and business card for employee according to requirement.

Leave & Holiday Management

  • Leave processing & calculation and keep track of annual government holidays.
  • Prepare/update annual government holiday schedule.
  • Maintaining leave records.

Attendance

  • Monitoring employee daily attendance & report accordingly.  
  • Administration of attendance data and checking daily attendance of employees.
  • Prepare monthly attendance report and salary sheet.
  • Prepare monthly late coming report of employees.

Disciplinary and Compliance Issues   

  • Addressing and maintaining hygiene & grooming issues of employees.
  • Resolving workplace conflicts, disciplinary issue, grievance and termination.
  • Pre employment medical test for new hired employee & maintain register for this.
  • Promoting a harmonious work environment.

Employee Evaluation

  • Design and implement performance appraisal systems.
  • Annual performance evaluation.
  • Preparation of salary increment sheet.

Miscellaneous

  • Working closely with management and employees to improve work relationships.
  • Any other duties assigned by the management if and when required basis.
