Job Context:
∎ The Front Desk Officer will be responsible to perform a variety of administrative and clerical tasks. S/he will be the first point of contact for the office and will provide administrative support across the organization. S/he will handle the flow of people and ensure that all front desk responsibilities are completed accurately and delivered with high quality and in a timely manner. S/he will closely work with the Centre In-Charge of Muslim Aid Institute of Technology, Mirpur.

Job Responsibilities:
∎ Serve visitors by greeting, welcoming, directing and announcing them appropriately.
∎ Respond to visitor’s questions professionally and courteously.
∎ Answer, screen and forward any incoming phone calls while providing basic information when needed.
∎ Receive and sort daily mail/deliveries/couriers.
∎ Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges).
∎ Update appointment calendars and schedule meetings/appointments.
∎ Perform other clerical duties such as filing, photocopying, collating, faxing etc.
∎ Coordinating the admission process.
∎ Inventory Management.
∎ Vendor Management.
∎ Updating Leave Cards (Maintaining the manual document of the Employees applying for leaves).
∎ Assisting the HR & Admin & perform basic data entry when needed.
∎ Providing necessary support on administrative management.
∎ Keep every record & provide management as per need.
∎ Maintain the practical equipment and update the inventory, keep individual asset record including tools & equipment, training & education materials, training raw materials to ensure their proper utilization.
∎ Updates job knowledge by attending meetings; participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
∎ Enhances Institute reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
∎ Maintain Muslim Aid all policies and community approach.
∎ Ready for work as per management decision.
∎ Maintain Employees Attendance Sheet, leave register, Training Register, Complain Register and other relevant register.
∎ Ensure to keep complain box in convenient place.
∎ Ensure health and hygiene issues addressed properly during visits by the visitors.

Additional Requirements:
∎ Minimum 2 years’ experience in relevant field.
∎ Experience in Financial Management, Admin & HR related Activities.
∎ Knowledge on Microsoft Office.
∎ Excellent inter-personal skills and Verbal Communication Skills.
∎ Ability to resolve conflict.
∎ Good Presentation Skills and Neat & Professional Appearance.
∎ Self-Motivated and have the ability to motivate others.
∎ Calm and Composed while Multitasking.
∎ Ability and willingness to deal with uncertainty.
∎ Ability and willingness to work in and with a diverse team.
∎ Ability to work under pressure and critical situation.
∎ Ability to execute an event with positive result.

Salary: Tk. 18000 - 19000 (Monthly)
