Responsibilities & Context:
∎ Minimum Graduation in Business Administration, Management or any relevant field preferred
∎ Minimum 3 Years relevant Experiences in corporate and NGO is required
∎ Minimum 1 Year experience in working with a Senior Management team is preferred
∎ Excellent Organizational and time-management skills
∎ Proven staff management and team building skills
∎ Self Motivated with a positive and professional approach to management
∎ Fluent in written and spoken English and report writing skills
∎ Excellent software skills for MS Word, Excel, PowerPoint and google suit
∎ High level of discretion and professionalism in handing confidential information
∎ Ability to work independently in a rapidly changing professional environment

∎ Job Summary: The Executive Support Officer will provide comprehensive administrative and organizational support to senior executives, ensuring the smooth and efficient operation of the executive office. This role requires a high level of discretion, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
∎ Primary Responsibilities:

∎ Executive Assistance:
∎ ● Manage the CR’s calendar, including scheduling meetings, appointments, and travel arrangements as needed.
∎ ● Prepare and edit correspondence, presentations, reports, and other documents as required.
∎ ● Act as the primary point of contact between the executive and internal/external stakeholders, managing communications and ensuring timely responses as and when directed.
∎ ● Handle confidential information with discretion and maintain the executive’s files and records.
∎ Meeting Coordination:
∎ ● Organize and coordinate meetings, including preparing agendas, distributing materials, and recording minutes.
∎ ● Follow up on action items from meetings, ensuring timely completion and reporting progress to the executives.
∎ Project/event Support:
∎ ● Assist with the planning and execution of special projects, events, providing administrative and logistical support.
∎ ● Conduct research and gather data to support decision-making processes and project initiatives.
∎ Travel and Event Management:
∎ ● Arrange travel itineraries, accommodations, and transportation for the executive and other team members as needed.
∎ ● Plan and coordinate events, conferences, and other business functions, ensuring all logistics are managed efficiently.
∎ Communication and Liaison:
∎ ● Serve as a liaison between the CR and other departments, fostering effective communication and collaboration.
∎ ● Draft and proofread communications on behalf of the CR, ensuring clarity and professionalism.
∎ Office Management:
∎ ● Oversee the day-to-day operations of the executive office, including maintaining office supplies and equipment.
∎ ● Assist with budgeting and expense tracking, ensuring accurate and timely reporting.
∎ Other Duties:
∎ ● Perform other related duties as assigned by the CR to ensure the efficient operation of the office.
∎ ● Continuously seek to improve office processes and recommend changes to enhance efficiency and effectiveness.
