Responsibilities & Context:
∎ Manage and coordinate all aspects of business travel by air to meet the specific needs of staff within & outside the organization as per need.
∎ Purchase all international and domestic tickets in coordination with the department focal.
∎ Manage air travel reservations in the domestic and International airlines for BRAC Staff.
∎ Verify competitive prices with travel agencies and airlines based on quotations and negotiate preferred rates with vendors/ agencies.
∎ Analise travel procedures and destination information through online
∎ Arrange hotel reservation/ accommodation following the policies
∎ Verify relevant information of bills & receipts of different airlines and process for payment from Finance and Accounts in time.
∎ Ensure the payments are correctly disbursed to the vendors and airlines.
∎ Process the dollar endorsement letters of travelers.
∎ Review refund cancellation sheets from agencies and provide the update sheet to the supervisor.
∎ Resolve travel issues following organisational policy and communicate with all relevant parties.
∎ Develop different MIS and reports on Travel Management and submit to the management in time.
∎ Assisting with any travel-related issues that may arise.
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
∎ Job Purpose : Ensure all kinds of travel arrangements of BRAC and BRAC International staff and also BRAC guests’ in compliance with Travel policy.
