Experience:
Visa Processing & Documentation
· Handle visa inquiries and process applications for USA, UK, Canada, Australia, Schengen, Middle East, and Asian countries.
· Manage end-to-end online and offline visa processing, from initial inquiry to final submission and follow-up.
· Review, verify, and prepare visa application documents in strict accordance with embassy, consulate, and visa center requirements.
· Ensure all visa applications meet accuracy, completeness, and compliance standards to minimize the risk of rejection.
· Handle and manage various visa categories including Tourist, Business, Student, Work, Medical, Family Visit, Transit, and Group Visas.
Client Communication & Support
· Communicate clearly and professionally with clients regarding visa requirements, procedures, processing timelines, fees, and embassy rules.
· Provide expert guidance to clients on document preparation and interview readiness when required.
· Update clients regularly about application status, additional requirements, or embassy feedback.
· Handle client inquiries, concerns, and follow-ups in a timely and professional manner.
Embassy & Visa Center Coordination
· Coordinate with embassies, high commissions, consulates, and visa application centers for appointment booking, submission, and follow-up.
· Maintain up-to-date knowledge of embassy policies, country-specific requirements, and procedural changes.
· Liaise with airlines, tour operators, insurance providers, and international partners when necessary for visa-related support.
Online & Offline Application Management
· Manage online visa portals, appointment systems, and digital document submissions.
· Handle offline submissions, physical documentation, and manual processes where required.
· Track application progress and ensure timely submission and collection of passports and documents.
Record Keeping & Compliance
· Maintain accurate client records, visa files, and application databases (digital and physical).
· Ensure confidentiality and secure handling of client passports and sensitive information.
· Follow internal policies, legal requirements, and data protection standards at all times.
Risk Assessment & Quality Control
· Evaluate applications to identify potential risks or weak areas before submission.
· Suggest corrective actions or alternative visa options where applicable.
· Maintain a high standard of quality control and compliance across all visa cases.
Team Support & Coordination
· Support junior visa officers by providing guidance, training, and supervision when needed.
· Assist management in improving visa processing workflow, efficiency, and success rate.
· Participate in team meetings, process improvement discussions, and policy updates.
Promotional & Creative Support (Added Advantage)
· Assist in creating visa-related promotional content for social media platforms, websites, and advertisements as required.
· Use basic Graphic Design and digital tools to design posters, banners, informational creative, and video content for social media, with the goal of increasing visa processing service sales.
· Apply IT and digital marketing skills in content creation, scheduling, and post management across Facebook, LinkedIn, YouTube, and other online platforms.
· Support content writing, promotional boosting, and digital campaign execution to improve brand visibility and client engagement.
· Coordinate closely with the marketing team to ensure all visa-related promotional materials are accurate, professional, and compliant with embassy requirements and regulatory guidelines.
Market Awareness & Continuous Learning
· Stay informed about global immigration trends, visa policy changes, and embassy updates.
· Keep track of new visa categories, travel regulations, and international travel requirements.
· Continuously upgrade professional skills related to visa processing, customer service, and digital tools.
Tele Marketing
· Contact potential and existing clients over phone
· Explain company services (Tour Packages, Visa Assistance, Air Tickets, etc.) clearly
· Generate leads and follow up with interested customers
· Customer information properly
· Build good relationships with clients and handle queries politely
· Achieve daily/weekly call and lead targets
· Coordinate with the sales/team for successful conversions
