∎ Position Title: City Manager - Operations.
∎ Contract type: Permanent.
∎ Reporting: Manager & Head of Operations.
∎ Duty Station: Dhaka, Bangladesh
∎ Manage VSC efficiency & productivity within the given city. Ensure that the Teams are aligned & contribute towards achievement of parameters enlisted in the Team Objective Tracker
∎ Direct responsibility for the Units profitability and achieve targets (EBIT) set for the city
∎ Develop and maintain business relationships with all Consulate officials
∎ Ensure compliance to all existing processes and meet the defined SLA's. Ensures that the teams are mentored & work towards adherence of all SOP's/ processes, required to be complied with, from an Organizational & ISO perspective.
∎ Responsibility to manage city and staff efficiency & productivity.
∎ Undertake initiatives for process enhancements to improve quality & efficiency of the Unit. Facilitate & encourage teams to share "Spark Ideas", and, encourage sharing of Best Practices.
∎ Ensure conduct of Product & Process Training to all staff on a regular basis through coaching and development. Ensure all staff attends trainings scheduled by HR & ensures effective Process Monitoring, by conducting Internal Process Certifications (IPC's), for all staff.
∎ Manage Security (Physical & Data) at the Application Centre and to ensure effective controls are in place to pre-empt any physical / data security breach incidents. Ensure adherence to Corporate Security Policy.
∎ Ensure on going Value Added services are enhanced & maintained thereby achieving the monthly/annual targets
∎ Ensures Updating of Productivity & VAS Conversion Grid - to track performance on a weekly/monthly/basis - data available for H1 & H2 appraisal
∎ Targets to be shared with the staff & progress reviewed at defined frequency, (recommended weekly), and
∎ Incentives to be disbursed to the staff, as per achievement, on a monthly basis
∎ 10. Liaison with support functions (Administration, HR, Finance etc.) & local Government authorities, to comply with local statutory requirements, as applicable.
∎ Regular / Monthly Meetings are conducted with the Mission to
∎ Discuss MOR (Monthly Operations Review), other initiatives (E.g. participation at events organized by the missions) to ensure a cordial & healthy relationship is maintained with the Diplomatic Mission(s). ? Closure of all issues discussed/ MOM points during meetings/ Correspondence with mission(s).
∎ Engage with missions to provide additional service offerings- like Video Conferencing, Additional Submission Locations, and SMS Alerts for 100% Applications, and other initiatives - to enhance the Applicant Experience, and/or opportunities to increase revenues.
∎ Lead new process rolls outs within the city.
∎ Ensure personal & professional development for employees by providing for trainings as per requirements.
∎ Mentor the team on a regular basis, thereby ensuring a successor is created for the position
∎ Succession planning for key employees
∎ Ensure judicious use of natural resources
∎ Adhere to the environment health and safety policy/objectives and guidelines of the organization
∎ Financial Audits/ Compliance Certificate to be completed every month, for all SBU's, and sign-off recorded & sent to Zonal Finance.
∎ Staff Reward & Recognition Culture to be encouraged - Staff of the month, employee of the Quarter, et al.
∎ Mystery audit scores - Satisfactory scores on all aspects
∎ Zero Incidents for any Operations, related to Process Integrity, Loss of Passports, StaffIntegrity
∎ Immediate reporting of Incidents to Immediate Reporting Manager & Head ofOperations - Zone/Country/Region
∎ Detailed Investigative report to be shared with all stakeholders, including ImmediateReporting Manager & Head of Operations - Zone/Country/Region, Security, any other; within 24 hours of the incident24. Completion of RCA & Action Plan to prevent recurrence of any Incidents, averse to Saudi VTS business interests.
∎ Maintains & updates the Saudi VTS Website hosted for the mission - reviews the website periodically, to ensure accuracy of information updated & all relevant updates / changes to the Process - Updated on the Website, on an on-going basis.
∎ Completion of WB Projects Completion
∎ Age at least 30 years
∎ Both males and females are allowed to apply
∎ Knowledge & Key Skills: • Proficiency in MS office & good typing speed
∎ Adaptability and presence of mind to handle client queries and complaints
∎ Fluency in Local Language - Ability to read write and speak fluently & English, knowledge of an additional international language would be very helpful (region specific language can be looked at).
∎ Experience in dealing with Customers (Dealing with Diplomatic Missions / Foreign Nationals would be an added advantage)
