Job Context: The Assistant Manager – Facility Management / Admin is accountable for leading and strategically overseeing administrative and facility management operations to ensure a safe, efficient, compliant, and high-quality workplace. The position is responsible for effective team leadership, governance, vendor management, resource optimization, risk and compliance management, and continuous improvement to drive service excellence and operational efficiency. The role works closely with senior management and internal stakeholders to ensure reliable workplace services, enhance employee experience, optimize operational costs, and effectively deliver key workplace and administrative projects aligned with business needs.
Job Responsibilities
Lead administration and workplace operations to ensure smooth and efficient service delivery.
Develop and implement relevant policies, SOPs and service standards.
Coordinate with internal functions to address operational and employee-support requirements.
Prepare periodic management reports and operational updates.
Lead office facilities, infrastructure and day-to-day maintenance operations.
Manage preventive and corrective maintenance of electrical, AC, plumbing, and other building systems.
Conduct regular inspections and ensure timely resolution of maintenance and facility-related issues.
Coordinate renovation, refurbishment and facility improvement projects.
Manage electricity, water, generators, AC and other critical utilities.
Monitor utility consumption and expenditure and identify opportunities for cost and energy optimization.
Ensure uninterrupted availability and proper maintenance of essential utilities.
Manage facility, maintenance, security, housekeeping and other service providers.
Monitor vendor performance against agreed contracts, SLAs and KPIs.
Coordinate contract/AMC renewals and ensure quality, compliance and cost effectiveness.
Prepare and monitor administrative and facility-related budgets.
Review operational expenses and vendor invoices and ensure appropriate approvals.
Identify cost-saving opportunities while maintaining service quality.
Ensure compliance with applicable statutory, regulatory and local authority requirements.
Maintain required licenses, certificates, permits and records and coordinate with relevant authorities.
Lead workplace safety, security and HES activities.
Conduct regular inspections, risk assessments and incident reviews.
Ensure effective access control, security coverage and implementation of corrective actions.
Ensure effective fire and life-safety arrangements across facilities.
Coordinate fire drills, inspections, safety training and emergency preparedness.
Liaise with Fire Service & Civil Defense and other relevant authorities as required.
Manage company residences and guest houses, including allocation, maintenance, housekeeping and related services.
Oversee landlords, vendors, utilities and residential assets to ensure proper upkeep and cost-effective operations.
Lead administrative warehouse/store operations, including receiving, storage, issuance and reconciliation.
Ensure accurate inventory records, periodic stock verification, asset control and proper disposal of obsolete/damaged items.
Plan and coordinate corporate events, employee engagement activities and internal programs.
Manage event logistics, vendors, catering, transportation and related operational requirements within approved budgets.
