Responsibilities & Context:
  • Document preparation and verification: 

B/L Handling, create, review, and verify all necessary export and import documents, such as bills of lading, invoices, packing lists, and certificates of origin. 

  • Regulatory compliance: 

Ensure all documentation and processes comply with international shipping laws, customs regulations, and other relevant laws. 

  • Stakeholder coordination: 

Liaise with clients, freight forwarders, shipping lines, customs brokers, and internal departments like finance and sales to ensure smooth and timely processes. 

  • Discrepancy resolution: 

Address and resolve any issues, discrepancies, or delays related to shipping documents. 

  • Record management: 

Maintain accurate digital and physical records of all shipping documents and ensure timely submission to clients and authorities. 

  • System management: 

Update internal systems with documentation status and process information. 

  • Risk mitigation: 

Identify potential risks associated with documentation and implement strategies to prevent errors, delays, or non-compliance. 

  • Process improvement: 

Develop and implement standardized procedures to enhance efficiency and accuracy. 

  • Financial liaison: 

Coordinate with the finance department to ensure accurate invoicing and align with payment terms, especially regarding Letters of Credit

  • Reporting and analysis: 

Generate reports on department performance, track budget, and analyze data for potential improvements.
