Responsibilities & Context: General Administration
- Manage and supervise all administrative activities of the factory, office, and showroom.
- Develop and implement administrative policies, procedures, and systems.
- Ensure proper office management, filing, and documentation.
- Arrange meetings, prepare notices/circulars, and ensure smooth communication across departments.
Human Resources & Compliance Support
- Monitor employee attendance, leave, overtime, and punctuality.
- Assist HR in recruitment, joining, induction, and exit formalities.
- Ensure compliance with Bangladesh Labour Law (BLA), ILO, factory policies, and buyer compliance standards.
- Assist during buyer audits, social compliance audits, and government inspections ETC
Security & Safety Management
- Supervise security guards and ensure proper surveillance (CCTV, ID cards, access control).
- Ensure fire safety, health, and safety measures in the workplace.
- Develop and implement emergency preparedness plans.
- Organize fire drills, safety training, and awareness programs for workers and staff.
- Coordinate with Fire Safety Officer, Security Team, and compliance departments & others department also.
Employee Relations & Discipline
- Take necessary action against absenteeism, misconduct, and disciplinary issues.
- Issue memos, warnings, notices, and ensure proper documentation of disciplinary actions.
- Promote a positive work culture through motivation, counseling, and engagement programs.
Facility & Welfare Management
- Supervise workers’ welfare facilities (canteen, medical center, transport, housing, daycare, etc.).
- Oversee factory/office maintenance, cleanliness, utilities (electricity, water, gas, internet).
- Ensure proper housekeeping and hygienic environment in the workplace.
- Coordinate with procurement/logistics for office supplies, furniture, and repairs.
Reporting & Coordination
- Prepare daily/weekly/monthly administrative reports to top management.
- Work closely with HR, Compliance, Production, and Security departments for smooth operations.
- Ensure proper support to buyers, auditors, and visitors during factory visits.
- Provide strategic inputs to senior management for process improvement.
