Job Responsibilities:
∎ Information management & Support:
∎ Ensures staff are briefed and trained on information management, written protocols and correspondence, rules on signatures, records management, archiving, and information management tools.
∎ Ensures compliance with the rules of the ICRC visual identity in external presentations e.g. letterheads, etc.
∎ Manages and coordinates the flow of information, ensuring that staff understand it and apply the appropriate institutional policies and procedures.
∎ Support the implementation and monitoring of projects linked to information management and ensure staff is accompanied in implementing changes (change management)
∎ Independently manages and monitors the use of the ICRC IM tools including access rights; keeps databases and lists updated
∎ Provides technical support to the sub site and travel to Cox's Bazar to ensure compliance with existing IM practices, and training and compliance to ensure optimal performance
∎ Support to Management:
∎ Participates in discussions, organizes internal and external meetings, writes meeting minutes; follows up on the implementation of decisions and strategies; flags issues and delays.
∎ Independently initiates, drafts, proof-reads and finalizes correspondence, presentations, and other documents; prepares briefing files.
∎ Maintaining appointment and organizes internal and external meetings and events; represent the ICRC to high-level contacts and counterparts in the diplomatic corps.
∎ Organizes the missions of the management and ensures that briefing files are prepared and presented within deadlines
Additional Requirements:
∎ 3 – 5 years of experience in a similar function
∎ Excellent command of English.
∎ Information management, records management and secretarial expertise
∎ Very good computer skills, including Word, Excel and PowerPoint.
∎ Experience in using collaboration tools/platforms
∎ Very good communication skills and at ease with internal and external counterparts
∎ Service-oriented attitude, Interest and skills for training staff
∎ Capacity to work independently
∎ Excellent organizational, methodical abilities
∎ Leadership skills, ability to work within a team and to integrate him/herself in a multicultural environment
∎ Sense of initiative, pro-activeness and ability to set priorities
∎ Flexibility, patience, diplomacy, resistance to stress inherent to a "multi-tasking” job and capacity to adapt to changes
∎ Interest for humanitarian activities (especially ICRC's)
∎ Flexibility to travel in the sub sites covered by the delegation
