Job Responsibilities:
∎ Administration & Accounting
∎ Coordinating administrative procedures and systems and devising ways to streamline processes.
∎ Prepare written communication, in English and Bengali, such as drafting letters as required for the administration of the country office.
∎ Support staff in editing documents and presentations as required.
∎ Maintain organization’s calendar and schedule appointments.
∎ Traveling off-site to collect and deliver office supplies and documents to other departments/project offices.
∎ Distribute and store correspondence (e.g. letters, emails and packages).
∎ Arrange travel and accommodations.
∎ Support administrative tasks associated with banking, visas, registration, etc.
∎ Schedule in-house and external events and offer assistance in organizing events and attend meetings and record notes and messages for managers and senior management.
∎ Assist in preparing budget, ensure accurate and timely reporting.
∎ Support accounts department in financial operations, and treasury management in compliance with the local laws and organizational/donors’ policies.
∎ Ensure cooperation in conducting financial and other administrative audits and timely completion.
∎ Office Management
∎ Maintain an equipment inventory tracker, manage office supplies stock and work with vendors to always ensure delivery on time and adequate levels of necessary supplies.
∎ Ensure functionality of necessary office equipment and requisitioning new equipment and supplies as needed.
∎ Manage other office responsibilities (IT, communications, utilities etc.), as needed.
∎ Assist in implementing office policies by setting up procedures and standards to guide the operation of the office.
∎ Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems.
∎ Ensure filing systems are maintained and current.
∎ Talent management
∎ Assist in personnel recruitment including job postings and interviews and ensure smooth onboarding process for a new hire.
∎ Coordinating any training for personnel and allocate responsibilities and office space.
∎ Support human resources department with payroll and personnel databases, and process payroll records.
∎ Procurement
∎ Support country office with procurement process.
∎ Assist Sr. Finance & Operations Manager in the preparation of contract/agreement and oversight of consultants and vendors.
∎ Estimate and establish cost parameters and budgets for purchases.
∎ Maintain and update a list of suppliers and their qualifications, delivery times, and potential future development.
∎ Ensure accurate recording of all procurement transactions in ThinkWell procurement management system.
∎ Prepare procurement request with purchase details of orders and deliveries and obtain necessary approvals within ThinkWell.
∎ Negotiate with external vendors to secure advantageous terms.
∎ Collaborate with key persons to ensure clarity of the specifications and expectations of the program/country office.
∎ Assist in performing risk management for making contracts and agreements and share any concerns with ThinkWell Operations Manager and ThinkWell Contracts representative.
∎ Identify and manage vendors for various services for office management, administration, or legal accounting services as required.

Additional Requirements:
∎ 5+ years’ experience or Master’s degree and 3+ years of experience. Bachelor/Master’s degree in business discipline is advantageous.
∎ Substantial experience in office management and/or operations.
∎ Strong IT skills, including proficiency with word, document editing, excel, database management.
∎ Experience managing procurement systems.
∎ A team player, motivated to provide subject matter expertise with a collaborative, customer service orientation.
∎ Demonstrated ability to complete tasks quickly, thoroughly and conscientiously with attention to detail and a responsive, ‘can-do’ attitude.
∎ A thoughtful systems thinker with grounded, pragmatic understanding of the complexities of our work.

∎ Demonstrated related skills (as relevant) in: financial management, accounting, USG rules, regulations and FAR/OMB, human resources management, contracts & compliance, IT, communications;
∎ Strong communication skills both in English and Bengali.
∎ Outstanding cross-cultural communication skills, including the ability to relate respectfully with staff at all levels, ages, genders, nationalities and orientations as well as across work areas;
