Job Context:
∎ Supply Chain and Operations Officer works under direct supervision of Senior Supply Chain and Operations Coordinator, Roving, provides supply operational support to RI`s nutrition activities, including supply operations, stock keeping, warehouse management , transportation of goods, supply, storing and transport documents.
∎
∎ Duty Station: Ukhiya but frequently move to camps.
∎ Reports to: Senior Supply Chain and Operations Coordinator, Roving
∎ Expected Start Date: At earliest
∎ Contract Length: 31st December, 2022 (With possibility of Extension subject to funding, program needs and performance of incumbent)
Job Responsibilities:
∎ Under the guidance of the Senior Supply Chain and Operations Coordinator, Roving, the Supply Chain and Operations Officer will be responsible for-
∎
∎ Warehouse Management
∎ Identify the items entering and leaving and check the quality, quantity and documentation together with Supply Chain and Operations Assistant .
∎ Report any problems with quality, quantity or documentation immediately.
∎ Update the inventory report on a daily basis, submit weekly to the Senior Supply Chain and Operations Coordinator and Country Supply Chain and Operations Manager.
∎ Ensure that the stocks forms such as bin cards, stock cards, GIK waybills, GRNs, consumption reports etc. are kept up to date.
∎ Restrict entry into storage facilities and keep keys for the storage facilities.
∎ Implement guidelines and rules and regulations m
∎ Ensure that RI storage procedures are respected.
∎ Ensure internal guidelines, rules and regulations are known by his Supply Chain and Operations Assistant and respected.
∎ Ensure that storage standards are known by his team and respected. For instance, make sure that all requirements for food storage are fulfilled. and standards
∎ Monitor Stock Utilization
∎ Observe the minimum stock balances to anticipate any shortage in rolling stock and report it to the Senior Supply Chain and Operations Coordinator, Roving, Country Supply Chain and Operations Manager, Health Manager and Hospital Program Team Lead.
∎ Review monthly the minimum stock balance according to consumption.
∎ Pay particular attention to use-by dates of food items (PlumpySup, Supercereal, Supercereal + etc) ensuring proper stock rotation. Advise Supply Chain and Operations Assistant whenever expiry dates are approaching (within 3 months).
∎ Carry out monthly physical inventory of all items in stock and submit Inventory report to the Senior Supply Chain and Operations Coordinator, Roving, Country Supply Chain and Operations Manager, Health Manager and Hospital Program Team Lead.
∎ Supervise the storage conditions
∎ Check weekly that the store is clean, organized and is regularly ventilated.
∎ Make sure that the stock is arranged in such a way that it's easy to count and aisles are accessible. More especially, make sure the approved layout is implemented when available.
∎ Supervise the management of infected products. For instance, make sure that there are separated and documented.
∎ Ensure storage facilities are free from rats, rodents and any other pests which may damage stock and periodically plan for fumigation of storage facilities.
∎ Plan for disposal of expired/ infected products in collaboration with the Senior Supply Chain and Operations Coordinator, Roving, Country Supply Chain and Operations Manager, Health Manager and Hospital Program Team Lead.
∎ Plan and prepare Purchase Requests for cleaning materials, rent of trucks, and fumigation services in time.
∎ Manage shipments and Cargo
∎ Receive and issue out the various dispatch documents ie SRFs, Waybills as per RI's procedures.
∎ Ensure the Health Manager and Hospital Program Team Lead personally conduct a physical review any stock they have requested and sign the necessary documentation.
∎ Directly supervise the process of loading and unloading, including timely ordering of the trucks, casual worker request, attendance sheets and ensuring timely payment is made.
∎ Team management and communication
∎ Supervise day to day work;
∎ Provide support whenever needed;
∎ Handle the comprehensive work in Ukhiya in case if Supply Chain and Operations Assistant is on leave or sick;
∎ Keep a good information flow with the logistics team, Health Manager and Hospital Program Team Lead to either update on the deliveries or anticipate on the upcoming deliveries;
∎ Report to the Senior Supply Chain and Operations Coordinator, Roving, Country Supply Chain and Operations Manager.

∎ Willingness to travel and work extensively - sometimes at short notice, in difficult places and under long hours.
∎ Able to work independently and within a team, with minimum supervision.
∎ Diligent in work processes.
∎ Familiarity and experience in MS Excel, Quick books software etc. is preferable.
∎ Good knowledge of English language will be considered an advantage.
∎ 1 year of previous experience in similar position / similar context a plus.
