Experience:
1-3 years’ experience in development sector with International or renowned National NGOs
Knowledge:
Knowledge and experience of dealing with RRRC, CiC, and other Government Officials.
Knowledge of public relations.
Skill:
Have excellent writing, reporting, and analytical skills.
Have excellent knowledge and skill in Office applications (MS Word, MS PowerPoint, MS Excel).
Have excellent typing skill both in Bengali and English.

Purpose:
This position will be focal point of providing fleet/ transport services within HCMP under the supervision of the Manager.
Key Responsibilities:
Maintain online and manual registers, vehicle and driver information, transport requisition records, and staff transportation databases to ensure smooth fleet operations and effective communication.
Check and process online transport requisitions, allocate vehicles as per requirement, and coordinate with drivers and vendors for timely transport support.
Maintain and update fleet management software and other organizational systems with accurate vehicle, driver, fuel, and maintenance information.
Prepare and maintain various reports, databases, spreadsheets, and records using MS Office applications, particularly MS Excel and Word.
Collect, compile, analyse, and present fleet-related data and information from field offices and relevant stakeholders as required.
Prepare daily, weekly, monthly, and ad-hoc reports related to fleet operations, vehicle utilization, fuel consumption, maintenance schedules, and transport services.
Prepare, process, verify, and maintain all fleet-related bills, invoices, vouchers, payment records, expenditure calculations, and tracking sheets; ensure accurate cost monitoring, documentation, reconciliation, reporting, and timely submission of all transport, fuel, maintenance, repair, and other fleet-related financial records in compliance with organizational policies and procedures.
Ensure proper documentation and filing of vehicle registration, fitness certificates, insurance, tax tokens, route permits, and other compliance-related documents.
Perform Bangla and English typing for official correspondence, reports, notices, meeting minutes, and other administrative documents.
Monitor vehicle maintenance, servicing schedules, repair works, and coordinate with workshops/vendors to ensure operational readiness of vehicles.
Arrange efficient transport and shuttle management for staff and monitor driver availability and deployment on time.
Assist in operating and troubleshooting basic fleet-related software and digital reporting systems.
Maintain close coordination and communication with all concerned departments, field offices, vendors, drivers, and stakeholders regarding fleet and transport activities.
Inform the Manager, Admin & Fleet of all required information related to vehicle operations, maintenance, compliance, and fleet performance.
Ensure accurate data entry, record keeping, and timely submission of reports as per organizational requirements.
Safeguarding Responsibilities:
Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
