∎ JOB PURPOSE: In this position, you will be responsible to ensure administrative support to the programme, office stock and inventory management, fixed asset management, office maintenance, organise company records and take corrective action when necessary for the Skills Development Programme (SDP). You will also develop, review and improve administrative systems, policies and procedure and act as the point of contact for all staff (internally and externally) in both head office and field office for SDP. Moreover, you will work closely with the Associate Director for organising meetings, events and daily schedules, meeting notes etc. as per requirement.

Job Responsibilities:
∎ Ensure and provide administrative support to programme at Head Office and Field Office as required.
∎ Lead the procurement plan, coordinate and work together with procurement staff and ensure the quality of the goods/ services and update in the e-asset software properly.
∎ Maintain stationary supplies and coordinate deliveries and maintain stocks & inventory following BRAC policy.
∎ Maintain schedules and calendars for various event and provide support for arranging meetings, workshop in terms of venue selection, food arrangement (lunch, snacks, dinner) and coordinate with the concerned department for necessary requirement.
∎ Store and maintain programme documents with confidentiality, take different types of approval from management and disseminate timely with field offices. Ensure production and maintenance of up-to-date and accurate administrative records and reports including an organized filing system.
∎ Support the programme Head in tracking field and HO expenses in certain areas; update necessary documents, support audit process and response to audit quires related to the position's responsibilities, and cooperate with audit Team.
∎ Check all HO staff bill before submitting to accounts department and provide information for developing programme budget, scheduling expenditures, monitoring cost and analyzing variances.
∎ Provide support for different HR related issues like- staff requisition, transfer, resignation, leave, etc. to field and HO staff of the programme.
∎ Work as a focal person of SDP to deal with different programmes/ departments.
∎ Arrange office space and necessary equipment for all staff and ensure that all furniture and equipment are in proper order including IT equipment and internet infrastructure.
∎ Coordinate and manage travel including booking of accommodation and air tickets (both national and international) with Director/ Associate Director.
∎ Arrange training sessions for staff on corporate rules, regulations and tools as per the management decision.
∎ Carry out basic office duties, such as answering and routing phones, responding emails, keeping financial records, data entry and reporting, answering questions and finding information for employees, vendors, clients.

Additional Requirements:
∎ Understanding of administrative tasks, logistics management, procurement and ERP processes.
∎ Basic understanding of organisational policies, record keeping, ICT and audit responsibities.
∎ Proficiency in different computer applications (MS Office, Microsoft Excel, Google software, particularly Google drive, Gmail, Google docs Power Point & browsing internet).
∎ Good problem solving, time management and analytical skills.
∎ Should be a good team player, multitasker, planner and organiser.
∎ Sound proficiency in verbal and written communication both English and Bangla.
∎ Minimum 02 years experience in relevant field
