Responsibilities & Context:

Context:

The Sales Admin will act as a key support function for the sales team, ensuring smooth operational flow of sales processes, accurate documentation, and timely communication with customers, dealers, and internal departments. The role requires strong organizational, administrative, and coordination skills to maintain high efficiency in sales operations and support overall business objectives.

Job Responsibilities:

  • Prepare, review, and maintain all sales-related documents, including quotations, proforma invoices, sales invoices, delivery challans, and related records.

  • Provide daily administrative and documentation support to the sales team for smooth operations.

  • Maintain regular communication with customers, dealers, and distributors regarding order status, delivery schedules, and payment follow-ups.

  • Coordinate with warehouse, logistics, and distribution teams to ensure timely product availability and delivery.

  • Prepare and update daily, weekly, and monthly sales reports, sales summaries, target achievement reports, collection status, and MIS.

  • Work closely with finance and accounts departments to support billing, invoicing, credit control, and payment reconciliation.

  • Maintain and update dealer and customer databases, price lists, discount structures, and sales agreements.

  • Handle initial coordination of sales-related complaints, returns, damages, and customer feedback with relevant departments.

  • Ensure compliance with company sales policies, SOPs, internal controls, and regulatory requirements.

  • Support sales promotions, schemes, and marketing campaigns through administrative coordination.

  • Prepare and present sales performance reports, trend analysis, and data summaries for management review.

  • Receive, verify, approve, and accurately enter sales orders into ERP or sales management systems, ensuring complete order processing.
