Responsibilities & Context:

Ray Advertising is searching for a driven and articulate Virtual Assistant to join our team in a WORK FROM HOME opportunity.

This position involves night shift from Monday to Saturday, 6:00 PM to 3:00 AM BD time — including a 1-hour break.

Position Overview:

We are looking for a smart, organized, and reliable Virtual/ Administrative Assistant to support our team remotely.

This role is ideal for someone who can handle data, coordinate with teams, and stay organized while managing multiple small projects at once.

Note: The selected candidate must be comfortable working under micromanagement — meaning your tasks, timelines, and performance will be closely monitored and guided to ensure consistent quality and alignment with company standards. This helps maintain accountability and ensures all tasks are completed with precision.

Key Responsibilities:

1. Data & CRM Management

  • Update and maintain data in Excel sheets and CRM systems.

  • Keep client and publisher information accurate and organized.

  • Prepare simple reports or summaries for management when needed.

2. Communication & Coordination

  • Respond to emails and messages professionally and on time.

  • Schedule and manage meetings using tools like Calendly or Google Meet.

  • Coordinate with team members using tools like Monday.com, Trello, or ClickUp to track tasks and progress.

3. Project & Team Management Support

  • Assist in organizing and tracking ongoing projects and deadlines.

  • Help team members stay on schedule and report task progress to management.

  • Support managers in monitoring project updates and maintaining teamwork efficiency.

4. Compliance & Record Keeping

  • Handle company paperwork and ensure all internal documents are properly maintained and filed.

  • Manage Publisher Compliance, ensuring all publishers meet company and client guidelines.

  • Follow data confidentiality and privacy standards.

  • Ensure files and reports are well-organized and up to date.

5. Marketing, Social Media & Admin Support

  • Assist with small marketing-related tasks such as updating contact lists, tracking outreach, or preparing basic reports.

  • Manage social media accounts by posting updates, engaging with comments/messages, and maintaining brand consistency.

  • Support management in daily administrative work or research tasks.

  • Help with internal team updates, reminders, and simple follow-ups.

6. Content & AI-related Tasks

  • Create basic content such as short AI-generated blogs, articles, or captions using tools like ChatGPT or other AI platforms.

  • Must be familiar with AI tools and able to use them efficiently for writing, data, and workflow tasks.

7. Weekly Task Reporting

  • Complete assigned weekly tasks and submit short reports or updates.

  • Keep management informed about task progress or any issues.

Probation Period: We have a one month of probation period where you will receive 50% of the agreed salary. Upon successful completion of your probation period you will be paid the full salary and we don’t prolong the probation period beyond this 1 month.
