- Maintain and update the Chief Executive Officer’s schedule; scheduling appointments, internal team meetings, buyers’ meetings/visits and Capacity Meetings.
- Prepare agendas, reserving meeting rooms/venues, coordinating catering, and taking detailed meeting minutes.
- Prepare monthly presentations for the CEO using market analysis, ensuring precision and thorough attention to detail.
- Prepare reports on sales, shipments, and turnover comparisons as instructed by the CEO; Follow up on various reports for weekly submission to the CEO, including the subcon FTY report, sample development report, and others.
- Follow up, check, and consolidate the summary of the Monthly style closing report with the Key Account Manager (KAM) and Merchandising teams.
- Arrange flights, accommodations, and transportation for business trips, handling itineraries for management and all office staff.
- Coordinate with the operation support team to arrange invitation letters, on-arrival visas, BGMEA letters, and foreign visa procedures for the CEO, management and office staff (if needed for buyers/customers).
- Liaise with the Accounts team to arrange IOU payments, cash advances for staff's upcoming trips, and the submission of office bills.
- Work with the Admin and Purchase teams to process the procurement list according to requirements.
- Track and update the attendance and leave records of the CEO’s supervisees with proper communication.
- Collaborate with the KAM to update the division-wise organizational chart, reflecting new staff additions and resignations.
- Oversee the arrangements for customer/buyer visits with the merchandising team, including transportation and food.
- Liaise with the Audit and Account teams to resolve any billing issues related to office expenses; Verify conveyance bills and sundry expenses for accuracy and adherence to company policies.
- Handle internal and external event management, ensuring seamless coordination and successful execution.
- Perform any other tasks as and when assigned by Management.
