We're looking for an organized, proactive, and personable Personal Secretary to provide dedicated administrative and secretarial support to management — someone who communicates with confidence and can be trusted with sensitive information.
What You'll Own
Calendar & Scheduling
Manage the day-to-day appointments and schedule of management
Schedule, coordinate, and confirm internal and external meetings, including venue and logistics
Maintain and proactively update management's calendar, flagging conflicts and priorities
Communication & Correspondence
Handle calls, emails, and correspondence on behalf of management, drafting replies where appropriate
Draft, type, format, and proofread letters, memos, minutes, and official documents
Take accurate minutes of meetings and follow up on action items and deadlines
Documentation & Filing
Organize and maintain physical and digital filing systems for easy retrieval
Track pending tasks and deadlines, proactively reminding management of key commitments
Travel & Logistics
Coordinate travel arrangements, including tickets, hotels, and itineraries
Confidentiality & Coordination
Handle confidential and sensitive information with the highest discretion
Liaise professionally with internal departments, clients, vendors, and guests
Office & Admin Support
Manage office supplies, basic administrative purchases, and petty cash records
Perform other administrative/secretarial tasks assigned by management from time to time
Working Days: 5 Days a Week (Day off may be flexible at times)
