We are looking for an organized, proactive, trustworthy, and personable Personal Secretary to provide dedicated support to the COO across his professional, academic, personal, family, financial, legal, property, and administrative affairs. The role requires someone who communicates confidently, is highly computer literate, can work independently, and can be trusted to handle sensitive information with the highest level of discretion and confidentiality. The ideal candidate should be comfortable coordinating with banks, lawyers, government offices, universities, service providers, and other relevant parties, while ensuring that assigned responsibilities are followed through and completed efficiently
About the Role:
We are looking for a responsible, trustworthy, organized, and proactive Personal Secretary & Executive Assistant to provide comprehensive support to a Professor in managing his professional and personal affairs.
This is not a conventional office administration position. The selected person will work closely with the Professor and may be required to handle a wide range of responsibilities, including professional coordination, personal and family matters, banking, legal and land/property-related work, documentation, appointments, travel, official work, and day-to-day errands.
The ideal candidate should be someone the Professor can trust with sensitive information, assign responsibilities to independently, and rely on to follow tasks through to completion.
Key Responsibilities
Personal & Family Support
Handle personal and family-related administrative matters and appointments.
Coordinate with service providers, vendors, institutions, and other relevant parties.
Manage personal errands, payments, documentation, and other assignments.
Maintain strict confidentiality regarding personal and family matters.
Banking & Financial Matters
Handle routine banking-related coordination and follow-ups.
Liaise with banks and bank officials regarding documents, applications, statements, and certificates.
Maintain organized financial records and confidential documents.
Land, Property & Legal Matters
Coordinate land and property matters, including measurement, purchase, negotiation, tax, mortgage, registration, deeds, agreements, and related documentation.
Liaise with lawyers, AC (Land) Office, Sub-Registry Office, RAJUK, government authorities, and other relevant organizations.
Coordinate and follow up on land registration, mutation, tax, approvals, permissions, and other statutory requirements.
Prepare, organize, submit, and maintain deeds, agreements, legal notices, petitions, applications, certificates, and other legal documents as required.
Maintain an updated record of executed agreements, important documents, expiry dates, renewals, payments, and pending legal/property matters.
Coordinate with legal professionals regarding cases, notices, documentation, appointments, and follow-ups.
Ensure timely submission, renewal, and follow-up of required documents, licenses, approvals, and statutory matters.
Maintain proper records, reports, and documentation of all ongoing legal and property-related activities.
Perform other legal, property, administrative, and government liaison tasks as assigned by the Management.
General Assistance
Arrange domestic and international travel, tickets, hotels, transportation, and itineraries.
Make calls, visit banks, government offices, legal offices, and other locations when required.
Track pending tasks, deadlines, and commitments and provide regular updates.
Handle urgent assignments and ensure responsibilities are followed through to completion.
Perform other personal, professional, and administrative duties assigned by the Professor.
Compensation: Negotiable, based on experience. Additional benefits as per company policy.
Working Days: 5 Days a Week (Day off may be flexible at times)
