∎ 1. Front Desk Operations:
∎ Greeting and Welcoming: Warmly greet clients and visitors, making them feel welcome and valued.
∎ Answering Calls: Handle incoming calls, provide information, and direct calls to the appropriate department or individual.
∎ Managing Inquiries: Respond to client inquiries about travel packages, destinations, and services, providing accurate and helpful information.
∎ Booking Appointments: Schedule appointments for clients to meet with travel consultants.
∎ Maintaining Reception Area: Keep the reception area clean, organized, and well-stocked with brochures and other materials.
∎ 2. Customer Service:
∎ Building Relationships: Develop rapport with clients, understanding their travel needs and preferences.
∎ Providing Information: Offer detailed information about travel destinations, transportation options, accommodation, and activities.
∎ Resolving Issues: Address client concerns and complaints promptly and professionally, striving for customer satisfaction.
∎ Following Up: Follow up with clients after their trips to gather feedback and ensure a positive experience.
∎ 3. Administrative Tasks:
∎ Handling Mail: Receive, sort, and distribute incoming mail and packages.
∎ Preparing Documents: Assist with preparing travel documents, such as itineraries and tickets.
∎ Data Entry: Enter client information and travel details into the agency's database.
∎ Managing Supplies: Monitor and order office supplies as needed.
∎ 4. Sales and Marketing Support:
∎ Promoting Services: Promote the agency's travel packages and services to potential clients.
∎ Generating Leads: Identify potential clients and pass leads to travel consultants.
∎ Assisting with Marketing: Support marketing efforts by distributing brochures and promotional materials.
∎ 5. Other Responsibilities:
∎ Maintaining Confidentiality: Handle sensitive client information with discretion.
∎ Staying Updated: Keep up-to-date with the latest travel trends, destinations, and regulations.
∎ Collaborating: Work closely with travel consultants and other team members to ensure smooth operations.
