Job Context:

Job Responsibilities:
∎ Assist project implementation team in conducting regular/monthly and need based meeting.
∎ Regularly update the senior management on project progress and challenges in the field and ensure their timely solutions.
∎ Ensure logistics and security to the project's staff as per organization's policies and procedures in coordination with Logistics department.
∎ Create friendly working environment for all staff members and ensure appropriate learning culture adhering to all PSEA and safeguarding issues.
∎ Ensure all assigned staff adheres PSEA and safeguarding policies.
∎ Attend training/orientation as and when asked by the organization/ project management and participate in meetings, workshops and other events organized by other stakeholders and represent the project.
∎ Perform any other related duties or responsibilities when assigned by the organization/ project management.
∎ Support Project Manager/Program Specialist by providing monthly report, progress and achievement of each individual component.
∎ Support the ship hospital teams with timely allocation of resources (monthly budget, training materials, equipment, medicines & other logistics etc.) for effective implementation of the program activities.
∎ Help ship hospitals team with suggestions and direct interventions in case of any problems hindering field implementation and provide support during absence of medical officers.
∎ Ensure that ship hospitals are functioning as per approved norms.
∎ Ensure team spirit for effective implementation of the project.
∎ Monitor inputs to the planning of ship hospitals activities; monitor plans on a regular basis to ensure adherence.
∎ Ensure smooth flow of logistics and other support from HO to the ship hospitals.
∎ Ensure the availability of medicine, logistics, monthly fund expenses and other necessary items at the hospital location by following the official process.
∎ Prepare Purchase Request and follow up with Procurement Team.
∎ Ensure that ship hospitals are functioning as per approved norms & have required information and logistics to support the field level activities.
∎ Ensure quality of logistics.
∎ Identify staff capacity building needs, develop capacity building plans and support implementation of capacity building plans.
∎ Initiate/support capacity building initiatives (e.g. training and quality assurance) aimed at strengthening the outreach program.
∎ Provide inputs in improving quality of care to all services and project related activities.
∎ Ensure supportive supervision, coaching and mentoring support for ship hospitals staff.
∎ Ensure staff development through analysis of the staff capacity and project requirements.
∎ Assist in analyzing data of the program activities and document and maintain records of all ship hospitals activities to prepare all progress report.
∎ Monitor data collection and provide inputs to develop formats, procedures, and data analysis planning.
∎ Regularly review data/performance statistics; share as appropriate and use the data for improvement the programs.
∎ Ensure smooth flow of information from HO to ship hospitals and vice versa; take initiatives to minimize flaws.
∎ Collect monthly programmatic reports from ship hospitals, compile monthly report and share with MIS and relevant stakeholders.
∎ Assist to prepare monthly, quarterly, bi-annual, annual program reports.
∎ Coordinate and support work planning, budgeting, and reporting.
∎ Attend foreign team's exit interview and implement the recommendations.
∎ Prepare & organize monthly expenditures as per budget & according to operation plan.
∎ Represent Friendship in relevant meetings and workshops organized by partners, other civil society organizations and networks and government.
∎ Ensure coordination with local advocacy events and stakeholder capacity building workshops/meeting.
∎ Support to organize and facilitate planning and monitoring meetings with different stakeholders.
∎ Maintain and nurture inter-team coordination at head office with desired outcomes.
Additional Requirements:
∎ Age 28 to 35 years
∎ Minimum 05 years of professional experience particularly in the NGO sector.
∎ Excellent teamwork, and a proven track record of building trust within and empowering teams.
∎ Excellent verbal and written communication, presentation and reporting skills in English and Bangla and effective interpersonal and negotiation skills, proven through successful interactions with all levels of stakeholder groups.
∎ Willingness and ability to work in hardship environments.
∎ Having non-discriminatory and gender-sensitive perceptions along with safeguarding policies
∎ Excellent computer literacy especially in MS Office application.
∎ Good communication, facilitation, and motivational skills.
∎ Good hand in writing both narrative and quantitative reports.
∎ Good presentation skills
∎ Strong analytical, problem-solving, and decision-making capabilities.
