Professional Experience: Minimum 3 to 7 years of overall experience, with at least 3 to 5 years in a similar executive secretarial / personal managerial capacity serving a Group Chairman, Vice Chairman, Managing Director, or prominent business leader.
Communication & Tact: Exemplary verbal and written communication skills in both English and Bengali; exceptional diplomatic acumen, emotional maturity, and strict adherence to non-disclosure / confidentiality principles.
Technical & IT Competence: Proficiency in modern office productivity suites (MS Word, Excel, PowerPoint, Google Workspace) and calendar scheduling tools.
Leadership & Coordination: Demonstrated capacity to manage support staff, domestic aides, and motor pool drivers firmly yet cordially, maintaining high standards of decorum and punctuality.
Executive & Family Daily Support: Execute daily tasks, instructions, and administrative assignments issued directly by the Honorable Vice Chairman and his family with precision and utmost discretion.
Medical & Healthcare Coordination: Consult with the Chief Medical Officer (CMO) regarding medical queries or health concerns; schedule clinical consultations, hospital appointments, diagnostic assessments, and maintain confidential medical files for the Vice Chairman and his family.
Diary, Calendar & Schedule Management: Organize, update, and proactively manage daily, weekly, and monthly programs/schedules; provide timely reminders and briefing documentation to keep the Vice Chairman updated.
Travel, Ticketing & Protocol Logistics: Coordinate complete travel arrangements including flight ticketing, hotel reservations, visa processing, protocol arrangements, airport VIP services, and air mileage / loyalty program updates.
Office Systems & Confidential Records: Devise, enhance, and maintain secure filing systems, records archives, and electronic data management frameworks to ensure structured document retrieval and confidentiality.
Drafting & High-Level Correspondence: Handle incoming and outgoing executive correspondence; draft formal letters, emails, memos, and official communiques to international entities, local corporations, and government agencies as instructed.
Staff Management & Etiquette Supervision: Directly supervise personal drivers, household staff, and support personnel; provide continuous etiquette, behavioral, and discipline training to ensure impeccable service delivery.
Financial Administration & Petty Cash Handle: Manage, reconcile, and account for allocated petty cash and hold money; follow up with Group Accounts and Finance on bill settlements, executive expense claims, and authorizations.
Procurement & Special Assignments: Handle designated procurement, purchase of executive/household assets, vendor sourcing, and invoice verifications as per instructions.
Event & Hospitality Management: Organize and oversee corporate events, official banquets, executive board luncheons, and family gatherings with precision.
Internal-External Liaison & Corporate Compliance: Liaise with departmental heads, external service providers, regulatory bodies, and business partners; conduct field/site visits when required to ensure smooth execution of administrative standards aligned with corporate guidelines.
