Position Summary
We are seeking a proactive and organized Office Executive to support the daily operations of our online clothing business. The ideal candidate will manage administrative tasks, coordinate order processing, maintain records, communicate with customers and suppliers, and ensure smooth office operations to support business growth.
Key Responsibilities
Administrative & Office Management
Manage daily office operations and administrative activities.
Maintain physical and digital records, documents, and reports.
Handle incoming calls, emails, and correspondence.
Organize meetings, appointments, and office schedules.
Monitor office supplies and coordinate procurement when needed.
Order & Inventory Coordination
Coordinate with the warehouse or fulfillment team regarding order processing and dispatch.
Track customer orders and ensure timely delivery.
Maintain inventory records and update stock information.
Assist in stock audits and inventory reconciliation.
Customer Support
Respond to customer inquiries through phone, email, social media, or messaging platforms.
Resolve customer complaints and escalate issues when necessary.
Provide order updates and after-sales support.
Vendor & Supplier Coordination
Communicate with suppliers regarding product availability, deliveries, and documentation.
Maintain supplier records and purchase-related documents.
Follow up on pending deliveries and invoices.
Data Management & Reporting
Prepare daily, weekly, and monthly operational reports.
Update sales, inventory, and customer databases.
Maintain accurate records of transactions and business activities.
Support management with data analysis and reporting requirements.
E-commerce Support
Assist in updating product information, pricing, and inventory on online platforms.
Coordinate with the marketing team for product launches and promotions.
Monitor marketplace and website orders for smooth processing.
Required Qualifications
Bachelor's degree in Business Administration, Management, Commerce, or a related field.
1–3 years of experience in an administrative, office executive, or operations role.
Experience in e-commerce, retail, or apparel businesses is preferred.
Proficiency in Microsoft Office (Excel, Word) and Google Workspace.
Familiarity with inventory management and order processing systems is an advantage.
