Job Context:
∎ Reports to : Operations & Security Officer, Ukhiya
∎ Department : Operations
∎ Scope of Work:
∎ Operation Assistant - Supply works under direct supervision of Logistics Officer in Ukhiya, provides supply operational support to RI`s Ukhiya Rohingya Response Program, including supply operations, stock keeping, transportation of goods, supply, storing and transport documents. This is a new program opening in a complicated conflict settings requiring maximal flexibility, honest & transparency, patience with formalities, long hours, and creative thinking.
Job Responsibilities:
∎ Organize physical warehouse in compliance with RI standards (cleaning, organizing stocks, shelves, pallets etc)
∎ Organize stock keeping and transit stock management at Ukhiya including goods receiving, storing, stock management and dispatching to field sites
∎ Keep accurate and up to date warehouse documentation in compliance with donor requirements and RI SOPs (Stock cards, Bin cards, GRNs, Waybills, stock reports etc.)
∎ Prepare weekly and monthly stock reports, as well as on need basis when necessary
∎ Prepare GIK reports and keep separate tracking of project wise GIK
∎ Plan and execute warehouse improvements as required by management
∎ Coordinate with CXB team on goods arrival, prepare storing space and appropriate receiving documentation. Inspect goods received from supplier and notify line manager of any discrepancies
∎ Notify program teams of items out or low in stock on a regular basis
∎ Coordinate with the requester and receiver of goods. Assist and support program teams in keeping accurate supply documentation at field level
∎ Assist in local procurement and supply chain including quotation collection, small cash purchases etc
∎ Organize transportation of the goods and proper delivery to field sites
∎ Take part in field level distribution, as required by programs
∎ Other duties as assigned by supervisor
Additional Requirements:
∎ 1 year of previous experience in similar position / similar context a plus
∎ Able to prioritize, communicate effectively, and meet deadlines.
∎ Willingness to travel and work extensively - sometimes at short notice, in difficult places and under long hours
∎ Able to work independently and within a team, with minimum supervision
∎ Diligent in work processes.
∎ Proficient in Microsoft Office and Google software, particularly Google Drive, Gmail, Google Docs, MS Word and MS Excel.
∎ Good knowledge of English language will be considered an advantage
