∎ For our Country Office, we are hiring a qualified HR & Payroll Officer to work in the Administration and HR Department. This position would be directly supervised by the Head of Administration and HR and ensure the HR services related to payroll management, recruitment, HRIS management, performance management, personnel file management and staff on/off-boarding.
∎ Prepare and update the recruitment file with job description, requisition, and advertisement.
∎ Phone call to the candidate, email for interview invitation and rejection letter.
∎ Prepare the new staff personnel file immediately after on boarding.
∎ Follow-up with supervisor and subordinate to ensure all staff performance appraisal.
∎ Update personnel file with contract extension, increment and promotion letters.
∎ Maintain the separated staff file with exit documents i.e., clearance form and certificate.
∎ Keep the records of new staff orientation, training, and workshops.
∎ Update the Insurance company about staff inclusion and exclusion information.
∎ Create, update, and maintain staff profile immediately after on/off boarding.
∎ Creating ID and password for new staff just after onboarding.
∎ Assist the staff to unlock or reset the password as per request.
∎ Follow-up with staff for updating their personal information and documents.
∎ Assist staff in registering their attendance, leave and timesheet correctly.
∎ Follow up with staff to complete the time sheet within the deadline of each month.
∎ Assist the staff to upload information and documents related to appraisal.
∎ Update holiday list once in year and CTO leave balance as per the request.
∎ Update information related to staff movement, salary function or steps, Bank Account and TIN before monthly payroll preparation.
∎ Prepare the monthly payment advise and communicate with the respective project finance.
∎ Prepare the final settlement calculation on festival bonus and leave encashment for outgoing staff.
∎ Prepare the payment advice for festival bonus and share with the respective project finance as per the policy.
∎ Prepare salary payslips, income tax certificates and share it with all employees.
∎ Ensure that the employees payroll files are up to date and accurate.
∎ Answer questions about compensation, benefits, taxes and insurance deductions.
∎ Maintains payroll information in HRM System (Tax deduction, PF loan deduction, without pay leave, Salary and Festival Bonus payment).
∎ Facilitate the whole recruitment process for specifically assigned position.
∎ Organize orientation for the new staff as per the induction guideline.
∎ Organize a session on ROADTalk (Performance Management) for all staff as per the guidance of the line manager.
∎ Coordinate with insurance company and staff for insurance benefit settlement.
∎ Interpret and guide the HR policy to staff for implementation.
∎ Facilitate the process of probationary assessment of new staff.
∎ Contribute to organize WE@Helvetas workshop, and facilitate the session.
∎ Act as the HR focal in the absence of the line manager to continue HR support services.
∎ Perform any task assigned by the line manager.

∎ The initial offer would be 1 year with the possibility of contract extension based on performance and budget availability.
