Qualifications & Skills

  • Minimum 8-10 years of experience in operations, logistics, or customer service, preferably within e-commerce, FMCG, or skincare sectors.
  • Proven ability to build and scale operational departments from scratch.
  • Strong understanding of process development, SOP implementation, and quality management systems.
  • Advanced knowledge of NPS, CSAT, CRM platforms, and warehouse management tools.
  • Excellent analytical, reporting, and problem-solving skills.
  • Proficiency in MS Excel, Google Workspace, and ERP tools.
  • Exceptional communication, leadership, and cross-department coordination skills.
  • Ability to multitask, prioritize, and lead operations in a fast-paced environment.

 Job Purpose

The Head of Operations will oversee and manage all core operational functions of Beautyology, including Logistics & Parcel, Warehouse Management, and CRM (Inbound, Outbound, QA, and CMS). This role requires a highly organized and analytical leader with hands-on experience in developing SOPs, optimizing processes, and ensuring superior customer experience across all operational touchpoints. The position demands excellence in execution, strong leadership, and a data-driven approach to drive service quality, efficiency, and business growth.

 Key Responsibilities

Operational Management

  • Lead and manage end-to-end operations covering Logistics, Parcel, Warehouse, and CRM departments.
  • Develop and implement SOPs, workflows, and performance metrics to ensure efficiency and standardization across all functions.
  • Monitor daily operations, identify bottlenecks, and take corrective actions for process improvement.
  • Liaise closely with the Sales Department to ensure seamless order management, confirmation, delivery coordination, and status updates.

Logistics & Warehouse Oversight

  • Ensure smooth and cost-effective logistics and parcel delivery operations across all regions.
  • Supervise inventory and stock management, ensuring product availability and minimizing discrepancies.
  • Maintain warehouse discipline, safety standards, and space optimization for efficient operations.
  • Establish partnerships with logistics vendors to improve turnaround time and delivery accuracy.

CRM & Customer Experience Excellence

  • Supervise Inbound, Outbound, QA, and CMS teams to ensure quality communication and service delivery.
  • Drive initiatives to enhance NPS (Net Promoter Score) and CSAT (Customer Satisfaction) levels.
  • Ensure call handling and digital platform communication meet brand and service quality standards.
  • Monitor agent performance, call audits, and feedback mechanisms for continuous improvement.

Strategic Planning & Reporting

  • Prepare and manage annual operational budgets, resource allocation, and performance forecasts.
  • Develop data-driven reports and dashboards for management review and decision-making.
  • Identify cost-saving opportunities without compromising operational efficiency or customer satisfaction.
  • Collaborate with other departments to align operations with company objectives and growth targets.

Leadership & Team Development

  • Build, train, and mentor cross-functional teams to maintain operational excellence.
  • Promote a culture of accountability, teamwork, and continuous learning.
  • Implement performance evaluation metrics and incentive structures for team motivation.
