Responsibilities & Context:

Buyer Communication & Order Handling

  • Receive and process buyer inquiries, RFQs, and purchase orders (PO).
  • Prepare quotations (costing), lead time confirmation, and order acknowledgements.
  • Maintain regular communication with buyers regarding order status, approvals, and shipment plans.
  • Coordinate sample submission (development/approval) and follow up for feedback.

Order Coordination (Internal)

  • Coordinate with sales/merchandising, production, planning, QC, store, and logistics to meet order requirements.
  • Ensure raw material availability and track production progress.
  • Confirm artwork, specs, sizes, colors, packaging details, carton markings, barcode/QR, etc.
  • Manage T&A (Time & Action) plan and highlight risks early.

Documentation & Shipment Support

Prepare/verify order-related documents such as:

  • PI (Proforma Invoice), PO tracker, packing list, delivery challan
  • Commercial invoice support, HS code/basic shipment data (as required)
  • Coordinate dispatch/shipment schedules with logistics/forwarders.
  • Support export-related compliance documentation as needed by buyers.

Complaint Handling & After-Sales Service

  • Handle customer complaints (quality, shortage, damage, delay) and coordinate CAPA with QA/Production.
  • Maintain complaint log and ensure timely resolution and feedback to buyer.

Reporting & Record Keeping

  • Maintain updated order tracker (Excel/ERP) and customer files.
  • Prepare weekly/monthly reports: order status, backlog, on-time delivery, issues list.
  • Support audits or buyer visits with records and status updates.
