Job Context:
∎ To support and execute import and export operations in Procurement and logistics sections;
∎ liaison with suppliers, customers, service providers / internal and external sections to ensure accuracy & timelines of allocating resources and to align internal processes to meet customer requirements.
Job Responsibilities:
∎ Coordinate with Banks, Logistics Finance & Merchants to open LC for the specified shipments; ensure payments are released on time through Letter of Credit/Bill Analyzation and maintain records.
∎ Complete all activities pertaining to import & export shipments and ensure that the imports & exports through customs and BOI are cleared without callouts and customers receive accurate documentation to carry out payments smoothly.
∎ Prepare forward pre-shipment documentation for processing at the authorities
∎ Liase with merchants and factory to obtain final details, descriptions, quantities and values
∎ Follow up and monitor physical movement of the shipment with the wharf team until the shipment is passed through the customs to CFS / Port else escalate
∎ Obtain carrier and cargo forwarding details from the forwarders and prepare final documents.
∎ Update customer / systems as per customer expected standards
∎ Prepare and obtain statutory certificates customers require in relation to economic and non-economic requirements of importing countries
∎ Raise invoices for shipment effected and support commercial finance to follow up on payments
∎ Update all shipment information in ASN
∎ File and maintain all shipping documents & records in an organized and orderly manner required by the customs law and the customer for the specified period in accordance with Audit standards
∎ Take lead and handle tasks assigned with limited supervision in order to ensure efficiency and timely delivery of set deliverables
∎ Handle escalations on shipment invoices and follow-up payments for invoices of service providers, reconcile payments and update records while supporting commercial finance to follow-up payments
∎ Provide shipment and freight details to Merchants, Logistics Finance & RM stores to arrange space and speed up unloading processes.
∎ Conduct Trainings and provide continuous guidance to the Senior Executives and Executives within the team to ensure accuracy and adherence to commercial and logistics guidelines
∎ Perform process improvements in their respective areas and carry out continuous improvements using MOS tools to uplift the service standards in commercial and logistics for the division
∎ Perform additional duties commensurate with the current role, and when requested by management.
