The Executive Assistant to the Registrar provides high-level administrative support and coordinates strategic initiatives across multiple functional areas. This role requires exceptional organizational skills, discretion, and the ability to manage complex, time-sensitive responsibilities in a dynamic academic and administrative environment.
Key Responsibilities
· Office Management & Coordination
Manage the Registrar's calendar, schedule meetings with internal and external stakeholders, and coordinate daily communications
Serve as the primary liaison for the Registrar's office, ensuring seamless communication across departments
Monitor and prioritize incoming messages, ensuring the Registrar remains informed of critical events and update.
· Strategic Support
Assist the Registrar in overseeing and coordinating key operational areas: IT, Communications, Procurement, Admissions, and Construction Management
Support the Registrar in his capacity as assistant to the Board of Trustees, coordinating with the Founder's Office, Trustees' Offices, and AUW Support Foundation
Develop comprehensive understanding of institutional priorities to provide proactive support
· Travel & Event Coordination
Arrange domestic and international travel for the Registrar, including itineraries, accommodations, and logistics
Coordinate visits from guests, dignitaries, and stakeholders across AUW campuses, collaborating with relevant departments
· Communications & Documentation
Draft and edit correspondence, briefing documents, meeting minutes, and reports with accuracy and professionalism
Manage communications and outreach initiatives on behalf of the Registrar's office
Maintain organized electronic filing systems for all documentation, contacts, initiatives, and assignments
· Confidentiality & Professionalism
Handle sensitive and confidential information with the utmost discretion
Perform additional duties as assigned by the Registrar
Qualifications & Requirements
· Education
Bachelor's degree from a reputable institution
Postgraduate qualification (preferred)
· Skills & Competencies
Excellent command of written and spoken English (required)
Proficiency in Bangla (highly valued)
Advanced skills in Microsoft 365, Google Workspace, Teams, Zoom, and other office productivity tools
Exceptional time management and ability to prioritize competing demands
Strong organizational skills with meticulous attention to detail
· Experience & Attributes
Previous experience as an administrative assistant in an academic or professional environment (highly valued)
Collaborative work style with ability to build relationships across departments
Flexibility to manage intensive workloads during peak periods and meet strict deadlines
Demonstrated ability to maintain confidentiality and exercise sound judgment
