  • Basic photography and videography skills.

  • Basic video editing skills.

  • Good visual storytelling and aesthetic sense.

  • Familiarity with Instagram, Facebook, TikTok, LinkedIn, and YouTube.

  • Experience using Canva, CapCut, ChatGPT, and other AI-powered content tools is an advantage.

Communication

  • Serve as the first point of contact when appropriate.

  • Coordinate with clients, vendors, suppliers, and partners.

  • Follow up professionally via phone, email, and messaging platforms.

  • Relay important information accurately and promptly.

Research & Planning

  • Conduct market research.

  • Compare products and services.

  • Gather information for business decisions.

  • Prepare summaries and recommendations.

Personal Assistance

  • Assist with selected personal tasks when required.

  • Coordinate appointments.

  • Manage reminders for important dates and commitments.

  • Help streamline the Founder’s daily routine.

Responsibilities & Context:

About the Role:

We are looking for an exceptional Executive Assistant to work closely with the Founder across multiple businesses and projects. This is a fast-paced role for someone who enjoys organizing, problem-solving, planning, and ensuring that nothing falls through the cracks.

This position is ideal for someone who is highly organized, tech-savvy, proactive, discreet, and capable of managing multiple priorities simultaneously.

The Executive Assistant will act as the Founder’s right hand, helping coordinate business operations, schedules, communications, and day-to-day responsibilities.

Key Responsibilities:

Calendar & Schedule Management

  • Manage daily, weekly, and monthly schedules.

  • Coordinate meetings, appointments, and events.

  • Prioritize tasks and manage deadlines.

  • Send reminders and prepare daily agendas.

  • Ensure efficient time management.

Administrative Support

  • Organize documents and files.

  • Prepare presentations and reports.

  • Draft emails, letters, and meeting notes.

  • Maintain digital records and databases.

  • Follow up on pending tasks until completion.

Project Coordination

  • Track multiple ongoing projects across different businesses.

  • Coordinate with managers and team members.

  • Ensure tasks are completed on time.

  • Maintain project timelines and progress updates.

  • ⁠Social Media & Content Support

The Executive Assistant will also assist in documenting the Founder’s work and helping maintain an active social media presence across multiple brands.

Responsibilities include:

  • Capture high-quality photos and videos using a smartphone during meetings, events, salon activities, behind-the-scenes moments, and travel.

  • Film short-form content suitable for Instagram Reels, TikTok, and Facebook.

  • Assist in brainstorming content ideas aligned with each brand’s identity.

  • Edit simple videos using apps such as CapCut, InShot, or similar software.

  • Create basic graphics, stories, and posts using Canva.

  • Organize and maintain a well-structured library of photos and videos for future use.

  • Schedule social media posts when required.

  • Coordinate with photographers, videographers, designers, and marketing agencies when needed.

  • Stay updated on current social media trends and suggest creative content opportunities.

  • Identify authentic day-to-day moments that can be turned into engaging content.

  • Ensure all content reflects the premium image and values of the Founder and associated brands.
